Job Description:
The Online Facilitator Support Specialist plays an integral role in supporting the successful delivery of online professional development programs. This individual will coordinate facilitator activities, manage communications, assist with financial tracking, analyze program feedback, and collaborate with cross-functional teams to enhance the overall learning experience. The ideal candidate is highly organized, technology-savvy, and thrives in a fast-paced, service-oriented environment.
Key Responsibilities:
- Coordinate facilitator assignments to ensure virtual programs are fully staffed and ready for launch.
- Serve as a primary resource for facilitators by answering questions and providing ongoing support throughout program delivery.
- Prepare and maintain facilitator communications, reference materials, and process documentation.
- Monitor facilitator records, performance metrics, and quality standards to support successful program outcomes.
- Review participant and facilitator feedback to identify trends and recommend improvements to processes and systems.
- Assist with quality assurance activities before online courses begin.
- Support facilitator contract renewal activities and administrative processes.
- Track facilitator payments, reconcile financial information, and partner with finance to resolve payment-related issues.
- Respond to participant inquiries regarding workshop logistics, deadlines, and completion requirements.
- Coordinate educator training sessions, including scheduling, enrollment, facilitator assignments, and stakeholder communication.
- Partner with internal teams to improve workflows and enhance the online learning experience.
Qualifications:
- Bachelor's degree required.
- At least 4 years of experience in customer relationship management, program coordination, event management, or a related field.
- Experience working with a Learning Management System (LMS) is required.
- Familiarity with CRM and/or event management systems is preferred.
- Bilingual in English and Spanish is required.
- Strong organizational skills with the ability to manage multiple priorities simultaneously.
- Comfortable analyzing data and identifying opportunities for process improvements.
- Excellent communication and interpersonal skills.
- Demonstrated cultural awareness and the ability to work effectively with global teams.
- Proficiency with Microsoft Office and other business technology platforms.
