Rose's Restaurant Group is seeking a creative, organized, and proactive Logistics Coordinator to join the Extra Fancy team. We are in the "making people happy" business. ABOUT EXTRA FANCY

Extra Fancy is Rose's Restaurant Group's international events company. This role supports event execution, inventory management, workspace organization, and administrative operations. The Logistics Coordinator works closely with the Event Logistics Manager to prepare event materials, maintain serviceware and supplies, and help resolve operational and event needs in a fast-paced hospitality environment.

The ideal candidate is proactive, detail-oriented, comfortable balancing administrative and physical work, and motivated to leave every space and system better organized than they found it.

KEY RESPONSIBILITIES

Event Preparation

  • Create, update, and print event packets, ensuring leads have complete and accurate materials.
  • Assist the Event Curation team with menus, name cards, beverage signs, and other event assets.
  • Incorporate feedback and prepare materials for upcoming events in advance.
  • Source last-minute items and assist with pack-outs, party favors, and unexpected event needs.

Inventory and Supplies

  • Maintain inventories of plateware, glassware, flatware, barware, cleaning supplies, and event materials.
  • Update inventory trackers, storage guides, and other logistics records.
  • Monitor the location, condition, and stock levels of company equipment and supplies.
  • Report missing, damaged, or low-stock items and help maintain established minimums.
  • Receive, unpack, sort, and distribute rentals, packages, and supplies.

Workspace and Storage Organization

  • Keep offices, event spaces, service areas, and storage locations orderly and functional.
  • Return misplaced items and organize and label shelves, bins, keys, linens, equipment, and supplies.
  • Create intuitive storage systems and location guides.
  • Improve storage layouts and operational workflows.
  • Identify and route items that should be repaired, relocated, donated, or discarded.

Logistics and Operational Support

  • Transport supplies and event materials between company locations.
  • Coordinate assigned equipment use, vehicle maintenance, and related documentation.
  • Gather estimates, organize documentation, and follow up with vendors as needed.
  • Maintain and improve key asset inventories and organizational systems.
  • Support research and process-improvement projects.

Daily Coordination

  • Check in regularly with the Event Logistics Manager to confirm priorities, update company documents, and flag urgent needs.
  • Prioritize time-sensitive tasks and provide clear, regular status updates.
  • Escalate issues and decisions when needed.
  • Finalize materials for the next day's events and begin preparing independently for subsequent events.

QUALIFICATIONS

  • At least 1 year of experience in hospitality, catering, restaurants, events, administration, operations, or a similar role.
  • Strong organizational skills and attention to detail.
  • Ability to manage shifting priorities in a fast-paced, deadline-driven environment.
  • Clear, accurate, and efficient written and verbal communication.
  • Proficiency in Google Workspace. Familiarity with Tripleseat, Canva, or AI productivity tools, such as Codex, is a plus.
  • Ability to create polished internal documents and client-facing event materials.
  • Creative, practical problem-solving skills and a willingness to take initiative.
  • Ability to work independently while keeping managers informed.
  • Comfort with both administrative and hands-on operational work.
  • Dependability, discretion, and sound judgment.
  • Valid driver's license and ability to travel locally between company locations.
  • Ability to lift and carry up to 60 pounds, move supplies and equipment between rooms and buildings, including on stairs, and load and unload vehicles.


SUCCESS IN THIS ROLE

Success means event leads receive complete and accurate materials on time, supplies are replenished before shortages affect an event, storage areas remain organized and easy to use, recurring work is completed proactively, and managers have reliable visibility into completed tasks, open items, and upcoming needs.

  • Primary work location: 731 8th Street SE, Washington, DC 20003, with regular work at other company event and storage locations
  • Travel: Local travel between company locations may be required
