Intake Specialist

Location: Remote - candidates must reside in Colorado, Texas, Arkansas, Kentucky, Oklahoma, or New Mexico
Employment Type: Full-Time
Compensation: $24.00-$26.50 per hour, depending on experience

About the Role

Baker Law Group is seeking a personable, organized, and technologically capable Intake Specialist to serve as one of the first points of contact for prospective clients.

This is a full-time remote position for someone who enjoys talking with people, can manage a high volume of phone conversations, and knows how to make clients feel heard and supported. The Intake Specialist gathers information about potential legal matters, follows structured questionnaires, helps evaluate whether a matter may be a fit for the firm, and prepares qualified prospective clients for the next step in the intake process.

This is more than a receptionist position. The Intake Specialist must listen carefully, recognize important facts, ask thoughtful follow-up questions, document information accurately, and apply firm guidelines when helping determine how a prospective matter should move forward. Prior law firm experience is helpful but not required; strong customer service, phone, and client-facing experience are the most important qualifications.

What You'll Do

Responsibilities may include:

  • Answer inbound calls from prospective clients
  • Make outbound calls to follow up with potential clients who have contacted the firm
  • Create a welcoming, professional, and reassuring first impression
  • Listen carefully to prospective clients and gather detailed information about their situations
  • Work through structured intake questionnaires and established screening procedures
  • Ask appropriate follow-up questions to clarify facts, timelines, parties, and client goals
  • Learn how the firm evaluates potential matters and identifies cases that may be a good fit
  • Recognize matters that require urgent attention or internal escalation
  • Document all calls and client information accurately in the firm's systems
  • Prepare clear and complete intake notes for Intake Attorneys and legal teams
  • Schedule qualified prospective clients for consultations
  • Coordinate live call transfers when an Intake Attorney is available
  • Communicate next steps and set appropriate expectations for prospective clients
  • Follow up with prospective clients regarding appointments, information, or missing documents
  • Work closely with Intake Attorneys, administrative staff, and other members of the sales and intake team
  • Maintain confidentiality and handle sensitive personal and legal information professionally
  • Contribute to individual client sign-up goals and overall team performance
