This position plays a critical role in ensuring prospective district partners move efficiently from initial interest to active engagement. The Coordinator will support outreach execution, meeting coordination, CRM management, conference preparation, and partner communications while helping maintain a consistent and high-quality experience for school district stakeholders.

The ideal candidate is highly organized, proactive, detail-oriented, and comfortable working in a fast-moving, evolving environment. This role is designed to remove operational bottlenecks from the business development process, allowing senior leadership to focus on strategic partnerships, district expansion, and long-term growth initiatives.

Unlike traditional sales roles, this position is mission-driven within a nonprofit educational context. The Coordinator will contribute directly to expanding access to high-quality, career-focused education opportunities for students through innovative dual-credit and immersive learning experiences.

Outreach Coordination and Lead Management

  • Monitor inbound interest from school districts, educational organizations, conferences, referrals, and events.
  • Assist in qualifying prospective partners based on organizational fit, program alignment, and expansion priorities.
  • Coordinate scheduling and logistics for introductory meetings, follow-up conversations, and multi-stakeholder discussions.
  • Maintain consistent communication and timely follow-up with prospective and existing partners.

CRM and Pipeline Management

  • Maintain accurate and organized CRM records, including meeting notes, deal stages, next steps, and engagement tracking.
  • Monitor active opportunities and identify stalled conversations or follow-up needs.
  • Assist in developing reporting metrics related to outreach activity, pipeline health, and partnership engagement.
  • Support internal coordination between business development, academic, technology, and operations teams.

Outbound Outreach Execution

  • Support outbound engagement campaigns through email outreach, phone calls, and personalized district communications.
  • Research school districts, educational leaders, and workforce development organizations to support outreach efforts.
  • Assist in preparing outreach materials, messaging, and partner-facing communications.
  • Track engagement activity and response trends to support continuous improvement efforts.

Event and Conference Support

  • Assist with preparation and coordination for conferences, district visits, and industry events.
  • Research attendees and support meeting scheduling before events.
  • Capture leads, notes, and follow-up items during and after events.
  • Coordinate post-event outreach and meeting scheduling activities.

Partnership and Administrative Support

  • Respond to basic inbound questions from prospective partners and route complex inquiries internally as needed.
  • Assist with organizing partnership documentation, onboarding materials, and outreach resources.
  • Support the creation and maintenance of partner-facing materials, one-pagers, presentations, and communication templates.
  • Collaborate with marketing and communications teams to ensure consistency across outreach efforts.

Continuous Process Improvement

  • Identify opportunities to improve outreach coordination, meeting velocity, CRM organization, and communication workflows.
  • Assist in establishing scalable processes and documentation to support future team growth.
  • Contribute operational feedback and field insights to internal strategy and planning discussions

QUALIFICATIONS

  • 1-3 years of experience in business development support, sales coordination, outreach, customer success, education administration, or related roles.
  • Strong organizational and project coordination skills with exceptional attention to detail.
  • Excellent written and verbal communication skills.
  • Comfortable coordinating meetings, managing calendars, and supporting multi-step communication workflows.
  • Experience working with CRM systems and productivity tools.
  • Ability to manage multiple priorities in a fast-paced and evolving environment.
  • Strong follow-through and ability to work independently while coordinating across teams.
  • Professional and confident communication style, including comfort with outbound outreach and follow-up activities.
  • Interest in education, workforce development, partnerships, or Career and Technical Education (CTE).
  • Entrepreneurial and proactive mindset with a willingness to learn and adapt.
  • Ability to travel occasionally within Minnesota for conferences, events, and district meetings.
