Job description

Job Title: Senior Admin Coordinator

Industry: Travel and Hospitality

Location (city, state): Remote, must be based in the Washington, DC metro area (DC, Maryland, or Virginia)

Assignment Type: 6 month contract, with potential to extend based on performance and budget

Pay: $35 to $37 per hour (depending on experience)

Work Schedule: Full time, approximately 8:30am to 5:30pm, 40 hours per week

Benefits: This position is eligible for medical, dental, vision, and 401(k).

Job Description: Addison Group is seeking a Senior Admin Coordinator to serve as the administrative and project backbone of a busy trade and events team. This person will keep a lot of moving pieces on track, from calendars and meetings to stakeholder communication and project timelines, with a strong emphasis on staying ahead of deadlines and keeping everything running smoothly. Key Responsibilities:

  • Provide administrative and project support across sales missions, roadshows, trade shows, webinars, and familiarization trips
  • Manage departmental calendars and keep a global events calendar current and accurate
  • Draft, review, and edit correspondence, reports, and documents using word processing, spreadsheet, database, and presentation tools
  • Schedule and organize internal, cross departmental, and external meetings, including onboarding for international partners
  • Track and report event and in market activity to the relevant internal stakeholders
  • Build and maintain filing systems, databases, and spreadsheets across multiple projects
  • Serve as a liaison between departments and outside contacts
  • Support contract management and procurement steps, including loading scopes of work and contracts into the CRM
  • Keep market information on the trade website consistent and up to date
  • Support the RFP process across the organization's international offices
  • Be available for the occasional after hours need during peak activity

Qualifications:

  • 4 to 5 plus years in an administrative or program and department support role, with a minimum of 3 years of administrative experience
  • Bachelor's degree in marketing, business, communications, hospitality, or a related field, or equivalent work experience
  • A track record of managing multiple projects, timelines, and deadlines at once (a project management background is a strong plus)
  • Comfort using AI tools in your day to day work is a big plus
  • Experience supporting team members across time zones, along with awareness of travel norms and different cultures, is a real advantage
  • Proficiency with Microsoft Office, Zoom, and a CRM such as Salesforce, plus Google Slides, Canva, and project management software like Wrike
  • A proactive mindset, strong written and verbal communication, and the ability to work independently in a fast paced environment
  • An outgoing, collaborative personality with a genuine enjoyment of working closely with people every day
