The Recruiting Coordinator provides administrative and logistical support for the end-to-end hiring process, ensuring positive experience for candidates and hiring managers. This role coordinates pre-employment activities such as background checks, drug screens, and travel arrangements, while maintaining accurate candidate records in the applicant tracking system. The Recruiting Coordinator also prepares offer letters, supports campus recruiting efforts, and assists with HR systems and reporting as needed. By delivering timely, accurate, and professional support, this role helps drive an efficient recruiting process that supports Ardent Mills' talent acquisition needs.
Job Description
  • Coordinate pre-employment activities, including drug screens, background checks, physicals, and related candidate logistics , ensuring a smooth hiring process.
  • Maintain and update candidate data in the applicant tracking system (ATS) in real time to maintain accuracy and compliance.
  • Prepare and process offer letters, ensuring accuracy, timeliness, and quality control of all information.
  • Coordinate candidate travel and manage expense processes related to recruiting efforts.
  • Support campus recruiting activities, including event coordination and candidate communications.
  • Support HRBP's in the hiring adjudication process.
  • Provide back-up support for Workday HRIS functions as needed.
  • Maintain the adjudication process to evaluate discrepancies related to pre-employment results to finalize a hire decision.
  • Monitor and maintain career website content.
  • Assist with additional recruiting and administrative tasks to ensure effective end-to-end hiring support.

EssentialSkills & Experience
  • High School Diploma or GED
  • Minimum of 2 years of work experience as a Talent Acquisition Coordinator, HR Assistant or similar role
  • Basic knowledge of labor legislation as it pertains to background checks and drug testing
  • Strong customer service and communication skills
  • Ensures delivery of accurate and quality-driven service to multiple internal and external stakeholders.
  • Previous administration/coordination/scheduling experience is essential
  • Excellent time management, prioritization and organizational skills with high work standards and attention to detail.
  • Flexible and adaptable to change, able to work in a fast-paced environment whilst ensuring a high work standard and attention to detail
  • Strong ability to project manage and coordinate including hitting deadlines and stakeholder communications
  • Experience using an Applicant Tracking System (ATS)
  • Workday recruiting experience
  • Strong technical aptitude with a working knowledge of Microsoft Office Suite
