Position Summary:

Recruiting Operations and Onboarding Specialist is a hybrid role that sits at the intersection of operational excellence and proactive talent sourcing. You will split your time between two critical functions: keeping the recruiting engine running smoothly through administrative and onboarding operations, while also identifying, engaging, and building pipelines of qualified candidates across field, office, and manufacturing positions. 


This role is ideal for an experienced talent acquisition professional who thrives in a fast-paced environment, can seamlessly transition between recruiting operations and sourcing, and takes ownership of delivering an exceptional new hire and hiring manager experience


Requirements

Key Responsibilities:

Recruiting and Onboarding Administration 

Create and distribute offer letters, ensuring accuracy, compliance, and timely execution.

Initiate, monitor, and track pre-employment processes including background checks, drug screenings, employment verification, and onboarding requirements.

Coordinate onboarding activities and partner with HR, hiring managers, and new hires to ensure a seamless transition into the organization.

Facilitate new hire orientation sessions and support employee onboarding programs to promote a positive first-day experience.

Maintain accurate candidate records, requisition data, hiring documentation, and pipeline statuses within the ATS.

Serve as the recruiting point of contact when Recruiters are out of office, ensuring requisitions remain active, pipelines are maintained, and hiring processes continue uninterrupted.

Ensure compliance with employment laws, company policies, and hiring procedures throughout the recruitment lifecycle.

Candidate Sourcing & Pipeline Development

Proactively source candidates across Field (Distribution, Field Service Technicians, and Sales), and Plant positions. using LinkedIn Recruiter, Indeed, resume databases, military recruiting platforms, referrals, and networking channels.

Conduct targeted outreach campaigns to engage passive candidates and build relationships with top talent.

Build and maintain active talent pipelines for both current and anticipated hiring needs.

Boolean search techniques, talent mapping, and competitive market research.


Qualifications:

5+ years of experience in talent acquisition, recruiting coordination, recruitment operations, HR, or a related field.

Proven experience managing full-cycle recruiting coordination, including requisition management, interview scheduling, onboarding, and pre-employment processing.

Experience creating and administering offer letters and employment documentation.

Experience coordinating and monitoring background checks, drug screenings, and onboarding requirements.

Experience facilitating new hire orientation and onboarding programs.

Hands-on sourcing experience using LinkedIn Recruiter, Indeed, resume databases, and other candidate sourcing tools.

Proficiency with Boolean search techniques and proactive candidate sourcing strategies.

Experience working within an Applicant Tracking System (ATS) and/or HRIS

Exceptional organizational and time-management skills with the ability to manage multiple requisitions, deadlines, and priorities simultaneously.
