Recruiting Coordinator / Sourcer

Gallatin AI, Inc

El Segundo, CA • On-site

$70K - $90K/yr

Full-time

Medical, Retirement, PTO

Job description

About Gallatin
At Gallatin, we are rebuilding logistics infrastructure for the national security missions of the United States and allied partners. We build AI systems that determine how logistics decisions are made - not just how they're executed. From factory to foxhole, we operate at the layer where data becomes decisions, and decisions make the advantage.
About the Role
We're looking for a Recruiting Coordinator / Sourcer to help scale Gallatin during a critical stage of growth. This is a highly operational, high-ownership role that blends candidate coordination, sourcing, recruiting operations, and onsite support. You'll play a key role in keeping recruiting running smoothly while also helping identify and engage exceptional talent.
This role is based full-time in our El Segundo office and will be deeply involved in facilitating onsite interviews and creating an exceptional candidate experience. You should be someone who thrives in fast-moving environments, stays calm under pressure, communicates clearly, and genuinely enjoys being the person who keeps everything organized and moving forward. You're resourceful, proactive, and willing to jump in wherever needed.
This role is perfect for someone with an interest in long-term growth within recruiting, talent operations, or talent strategy.
What You'll Do
Coordination and Recruiting Operations
  • Coordinate and schedule virtual interviews across multiple teams and time zones, ensuring a smooth and high-touch candidate experience throughout the process.
  • Facilitate in-person interviews in our El Segundo office, including candidate hosting, interview logistics, room coordination, and day-of execution.
  • Partner closely with recruiters and hiring managers to keep processes moving quickly and efficiently.
  • Support recruiting operations and process improvement initiatives across systems like Ashby and other recruiting infrastructure.
  • Help maintain clean, accurate recruiting data and reporting.
  • Assist with candidate travel coordination and other recruiting logistics as needed.
  • Operate with urgency while managing multiple competing priorities simultaneously.
  • Identify opportunities to make recruiting operations more scalable, organized, and candidate-friendly.

Sourcing & Talent Pipeline Development
  • Source candidates across technical and operational roles using LinkedIn, SeekOut, outbound outreach, referrals, events, and creative sourcing strategies.
  • Build and maintain candidate pipelines for priority searches.
  • Represent Gallatin at conferences, recruiting events, and university events to help build long-term talent pipelines and brand awareness.

What We're Looking For
  • Experience in recruiting coordination, sourcing, recruiting operations, or a related talent function.
  • Strong organizational skills and exceptional attention to detail.
  • Comfort operating in a fast-paced startup environment where priorities can shift quickly.
  • Excellent communication skills and strong professional judgment.
  • Ability to manage a high volume of scheduling, coordination, and operational tasks without sacrificing candidate experience.
  • Experience sourcing candidates across LinkedIn and other sourcing platforms, with the curiosity and persistence to proactively identify strong talent.
  • Ability to craft thoughtful outreach messaging and engage passive candidates.
  • Strong interest in learning how to identify talent and build recruiting pipelines across technical and operational functions.
  • Experience working with applicant tracking systems, ideally Ashby.
  • You know how to use AI to your advantage in sourcing efforts and process improvement.
  • Strong sense of ownership and willingness to jump into whatever is needed to support the team.
  • Comfort working onsite full-time in El Segundo.
  • Willingness and enthusiasm to travel for conferences and recruiting events when needed.
  • Motivation to grow within recruiting and talent acquisition over time.

Bonus Points
  • Prior sourcing experience in AI, defense, or national security sectors.
  • Experience supporting high-growth startup recruiting environments.
  • Familiarity with Ashby

Kindly note, this role is five days per week in-person at our El Segundo, CA office.
Mission and Identity
We are building the system that enables faster, smarter logistics decisions in contested environments, and we're doing it with a team of seasoned entrepreneurs, operators, and technologists who have built and scaled solutions in this space before. We hold ourselves to an extremely high standard. We value clear thinking, direct communication, and the kind of ownership that doesn't stop until something actually works.
Our mission is to create decision advantage when the stakes are the highest. If we succeed, the system doesn't just run; it gets smarter. We're not building AI for its own sake. We're building it because faster, smarter decisions in the most demanding environments on earth can't wait. If you want to work somewhere the stakes are real and the mission is urgent - you'll fit in here.
Why Gallatin?
The logistics infrastructure that supports America's warfighters and humanitarian disaster responders is overdue for transformation, and we are building it. From defense operations to disaster response, we're solving the hardest problems that keep missions moving when it matters most. Join a team where the mission is the point.
Compensation: Gallatin offers competitive compensation commensurate with experience. Actual compensation may vary based on experience, skills, and location. In addition to base salary, we offer a generous equity grant, full healthcare coverage, 401k, unlimited PTO, and the perks of working in a high-caliber, mission-driven environment.
Gallatin is an equal opportunity employer. We do not discriminate on the basis of race, color, religion, sex, national origin, age, disability, veteran status, sexual orientation, gender identity, or any other characteristic protected by applicable federal, state, or local law.
This position may require the ability to obtain and maintain a U.S. government security clearance. The successful candidate must be able to work in a classified environment when necessary.
We comply with the United States Department of Labor's Pay Transparency provision.
