GENERAL FUNCTION / SUMMARY
The Recruiting Assistant provides operational support to the Life Insurance recruiting team by managing early-stage outreach activities and preparing recruiting leads for follow-up. This role focuses on high-volume, structured outreach and rule-based review of publicly available information to ensure lead accuracy and readiness. The position is a support role and does not involve recruiting judgment, candidate evaluation, or interviews.
*Must be bilingual in English and one of the following languages: Mandarin Chinese, Vietnamese, or Korean.
MAJOR DUTIES AND RESPONSIBILITIES
Outreach & Response Management
  • Send high volumes of outreach text messages and emails using approved scripts and tools.
  • Track, monitor, and organize outreach responses in designated systems.
  • Update lead statuses clearly and accurately to enable timely recruiter follow-up.

Lead Review & Preparation
  • Review publicly available information from approved sources to identify potential agent contact details.
  • Follow established, step-by-step guidelines to verify license status and eligibility.
  • Exclude contacts associated with banks or broker-dealers in accordance with written criteria.
  • Document findings accurately and completely prior to outreach activities.

Data Accuracy & Process Adherence
  • Maintain organized and up-to-date records to support recruiting workflows.
  • Ensure all work is completed in accordance with documented procedures and compliance standards.
  • Participate in required training and apply written guidelines consistently.

Collaboration & Communication
  • Communicate clearly with Recruiters regarding lead status, data issues, or anomalies.
  • Proactively surface trends or observations (e.g., response rates, data gaps) to the recruiting team.
  • Ask clarifying questions and suggest process improvements when appropriate.

BASIC QUALIFICATIONS
  • Bilingual in English and one additional language preferred (Chinese, Vietnamese, or Korean).
  • Strong attention to detail and ability to follow structured, rule-based guidelines.
  • Comfortable working with repetitive tasks and structured data.
  • Reliable, organized, and accountable with assigned responsibilities and timelines.
  • Prior administrative, outreach, or recruiting support experience preferred but not required.
