Job description

We are looking for an Executive Assistant to join our team in the office in Herndon, VA. This is a full-time, in-person position.

Key Responsibilities

  • Provide comprehensive executive support, including complex calendar management, meeting coordination, agenda preparation, note-taking, and action item follow-up.
  • Coordinate domestic and international travel arrangements, business dinners, client events, office meetings, training sessions, and onboarding activities.
  • Oversee daily office operations by managing vendor relationships, facility requests, office supplies, snack inventory, and general office upkeep.
  • Support recruiting and business operations through interview scheduling, candidate coordination, document management, presentation preparation, and administrative project support.
  • Process executive expense reports, track reimbursements, and collaborate with Finance and Accounts Payable to ensure timely and accurate processing.

Qualifications

Required:

  • 3-5+ years of experience supporting senior leaders in an Executive Assistant, Administrative Specialist, or similar role.
  • Advanced proficiency in Microsoft Office Suite, including Excel, Word, PowerPoint, and Outlook.
  • Strong organizational, time management, and multitasking abilities with exceptional attention to detail.
  • Excellent written and verbal communication skills, with the ability to interact professionally across all levels of the organization.
  • Demonstrated ability to handle confidential information with discretion, anticipate needs, take initiative, and drive tasks to completion independently and collaboratively.
