Primary Job Responsibilities:

  • Create an exceptional experience for all candidates and employees throughout the interview process 
  • Own the end-to-end interview scheduling process including phone screens, virtual and onsite interviews, and debrief sessions while consistently meeting and exceeding internal SLAs and performance metrics
  • Serve as a subject matter expert and escalation point for complex scheduling scenarios, including executive-level and multi-panel interviews across time zones
  • Responsible for part-time front desk coverage, including greeting candidates and guests of PitchBook and ensuring an exceptional in person experience 
  • Own communication with candidates, recruiters and interview teams on any logistics related to interviewing 
  • Maintain integrity of PitchBook's Applicant Tracking System (ATS), and ensure we are taking advantage of every efficiency 
  • Open new job requisitions, while ensuring accuracy and consistency in posting across job boards 
  • Responsible for effectively managing the background check process 
  • Attend intake meetings with recruiters and hiring managers, as needed, to develop an understanding of open roles, and stay actively engaged in the progress of open searches 
  • Utilize the ATS and our other metric tools to track and report on metrics 
  • Partner with recruiters and hiring teams to identify operational gaps in coordination workflows and implement improvements that enhance efficiency, communication, and candidate experience 
  • Participate in audits, reporting, and other data analytics activities 
  • Partner, as needed, with recruiters to build and sustain diverse, high-quality talent pipelines aligned to current and future hiring needs
  • Partner with the recruiters, HR Business Partners, and HR Operations team to maintain and update job descriptions, including auditing posted job descriptions 
  • Support the vision and values of the company through role modeling and encouraging desired behaviors 
  • Participate in various company initiatives and projects as requested 

 Basic Qualifications 

  • 3+ years of experience in a recruiting coordinator role 
  • 3+ years previous experience with an applicant tracking system 

 Preferred Qualifications 

  • Bachelor's degree, Communications, Human Resources, or related field 
  • Demonstrated curiosity and a genuine interest in talent acquisition 
  • Strong organizational skills with excellent attention to detail and ability to meet deadlines 
  • Proven talent to think on your feet and handle issues with resourceful solutions 
  • Demonstrated prior success in a role requiring extensive internal and external customer interaction
  • Excellent verbal and written communication skills 
  • Comfortable working with stakeholders at all levels within the organization
  • Experienced in handling ambiguity and shifting priorities 
  • Must be able to work independently and as a team member in a fast-paced environment with demonstrated ability to juggle multiple competing tasks and demands 
  • Proficiency with the Microsoft Office suite including in-depth knowledge of Outlook, Word, and Excel with the ability to pick up new systems and software easily. (Experience with Greenhouse or Workday is a plus)
  • Must be authorized to work in the United States without the need for visa sponsorship now or in the future

Compensation

  • This position is non-exempt and paid a salary of $65,000-$75,000
  • Target annual bonus percentage: 7.5%
