JOB SUMMARY:
Under minimal supervision, the Records Specialist is responsible for maintaining accurate student records and supporting a seamless admissions process. The role includes assisting with admissions and document processing functions, while ensuring effective documentation management. Oversees records-related tasks to ensure compliance with institutional policies and regulatory requirements, reinforcing the College's commitment to accessibility, accuracy, and organizational efficiency.
SPECIFIC DUTIES AND RESPONSIBILITIES:
  • Assist students with the admissions process, residency documentation, transcript submissions, waiver requests, and education verification requests.
  • Process and upload student documents with a strong focus on accuracy, confidentiality and timely completion.
  • Enter and manage student data in the student information system; generate and work with a variety of reports to ensure data quality.
  • Convert physical records to digital format while maintaining data integrity and proper recordkeeping.
  • Refer students to appropriate college department or community resources as needed.
  • Deliver high-quality customer service through in-person interactions, phone support, and email communications.
  • Fulfill transcript, diploma and certificate requests via Parchment in a timely and compliant manner.
  • Research and review archived records across multiple media formats.
  • Collaborate with faculty regarding attendance submissions, registration corrections, and grade submissions.
  • Support specialized tasks such as athletic eligibility verification, FLEID reconciliation, records merges, and National Student Clearinghouse (NSC) enrollment and degree reporting.
  • Ensure compliance with FERPA and institutional data privacy policies.
  • Complete all other duties and responsibilities as assigned.
QUALIFICATIONS, KNOWLEDGE AND SKILL REQUIREMENTS:
  • Associate's degree from an accredited institution.
  • Minimum of two (2) years proven clerical work experience to include keyboarding, typing, word processing, and filing.
  • Preferred: Bachelor's degree or higher; prior work experience in records, imaging, or Workday; knowledge of Florida residency law or FERPA law.
  • History of exceptional academic performance.
  • Ability to work with a diverse student population as well as administrators, faculty and staff.
  • Precise data entry and auditing skills.
  • Strong customer service skills.
  • Ability to maintain strict accuracy and be detail oriented.
  • Strong organizational skills.
  • Proven experience and proficiency with Microsoft Office and Windows-based applications.
  • Exceptional verbal and written communication skills.

PHYSICAL DEMANDS:
This position requires an ability to sit, stand, walk, bend, lift, reach up, stoop, and carry items occasionally in excess of twenty-five (25) pounds. It also requires manual dexterity to operate standard office machines such as computer, printer, scanner, fax, calculator, telephone, and other equipment as necessary. IRSC expects its employees to follow proper safety standards while employed by the College.
