Job description

The Production & Graphic Design Coordinator is a key support position responsible for assisting the daily operations of both Label Tech Inc. and Crazy Monkey Stickers. This is a fast-paced, multitasking role that requires exceptional organizational skills, strong customer service, and the ability to prioritize multiple projects simultaneously.

The coordinator serves as a primary point of contact for customers, assists with production workflow, supports the graphics department, performs administrative and accounting-related tasks, and helps ensure projects move efficiently from order entry through production and delivery.

Essential Duties and Responsibilities

Customer Service & Administrative Support (Label Tech Inc.)

  • Answer and direct incoming phone calls professionally.
  • Assist customers with order inquiries, artwork status, and general questions.
  • Prepare and process customer invoices accurately and in a timely manner.
  • Perform general office duties including filing, scanning, copying, and data entry.
  • Maintain customer records and job information in company software.
  • Coordinate communication between customers, sales, production, and graphics departments.
  • Monitor orders and follow up to ensure deadlines are met.

Production & Graphics Support

  • Prepare and organize artwork files for production.
  • Create and revise customer proofs for approval.
  • Make minor artwork revisions as requested.
  • Verify artwork specifications, dimensions, colors, and job details before production.
  • Organize production paperwork and job packets.
  • Assist with scheduling graphic design requests and production priorities.
  • Maintain organized electronic files for artwork and production documents.
  • Help ensure jobs move efficiently through the production process.

Crazy Monkey Stickers Responsibilities

  • Answer phone calls, emails, and assist customers with orders, artwork, pricing, and inquiries.
  • Enter orders, and maintain accurate customer and job records.
  • Prepare artwork files, coordinate revisions, and obtain customer proof approvals.
  • Coordinate with the production team to ensure jobs are completed accurately and on schedule.
  • Monitor order progress, provide status updates and see project completion.
  • Maintain an organized workspace while effectively managing multiple projects in a fast-paced environment.

General Responsibilities

  • Effectively manage responsibilities for two separate companies while maintaining accuracy and professionalism.
