Job description

Job Title: HR Assistant Shifts: Day

Dept.: Administration Type: Hourly, Non-Exempt

Reports to: Human Resources Manager Class: Indirect

The following are tasks to be performed by the HR Assistant. The duties are not limited to this list. Any additional requirements, changes, or deletions will be at the discretion of the HR Manager. To perform this job successfully, an individual must be able to execute each essential responsibility and duty satisfactorily.


SUMMARY: The HR Assistant supports the daily operations of the Human Resources department and performs a various accounting and administrative duties. Working closely with the HR Manager and the Controller, this role helps support the business by maintaining accurate records, communicating with employees and ensuring compliance with company policies and procedures.
RESPONSIBILITIES:

Reception and Administrative Support:

  • Serve as the first point of contact for visitors, vendors, and employees
  • Greet guests and direct inquiries appropriately
  • Schedule conference rooms, interviews, meetings, and company events as requested
  • Coordinates in-office meals and reception activities as requested
  • Provides general administrative support to the HR Manager and other departments as needed

Human Resources Duties:

  • Coordinates recruiting activities including posting job openings, scheduling interviews and coordinating candidate communications
  • Assists with onboarding activities including preparing new hire paperwork, coordinating background checks and screenings, scheduling orientation, and ensuring all required documentation is completed
  • Maintains employee personnel files and HR records while ensuring confidentiality and accuracy
  • Assists with employee leave administration, including tracking leave requests, maintaining documentation, and coordinating with employees and supervisors
  • Supports Labor & Industries (L&I) administration, including workers' compensation claims, Stay at Work program participation, Retro program documentation, and OSHA 300 recordkeeping
  • Administers employee training records and maintains documentation within the company's Quality Management System (QT9)
  • Supports employee performance review processes and other HR initiatives
  • Prepares HR reports, documentation, and compliance records as requested.
  • Maintains confidentiality of employee information and personnel records

Accounting Job Functions:

  • Completes daily customer invoicing and other routine accounting activities.
  • Assists with Accounts Payable and Accounts Receivable, or any other special accounting projects as assigned.
  • Reconciles monthly Benefit Invoices against monthly enrollment reports

QUALIFICATIONS:

  • High school diploma or GED required;
  • Associate or Bachelor’s degree in Human Resources, Business Administration, or related field a plus
  • Minimum of three years of experience in Human Resources, Administration, or a related field
  • Previous front desk, reception, or customer service experience preferred
  • Working knowledge of recruiting, onboarding, personnel records or HR administrative processes and employment practices
  • Familiarity or exposure to leave administration (FMLA, PFML, etc.), Labor & Industries (Workman’s Comp) processes preferred
  • Proficiency in Microsoft Office Suite (Excel, Word, Outlook)
  • Experience with HRIS, payroll, or accounting systems a plus
  • Exceptional interpersonal, written, and verbal communication skills
  • Strong attention to detail with the ability to maintain accurate records and documentation
  • Ability to handle confidential employee and financial information with discretion
  • Strong organizational skills with the ability to prioritize and manage multiple tasks
  • Exceptional interpersonal, written, and verbal communication skills with the ability to interact professionally with employees at all levels
  • Self-motivated with the ability to adapt and work independently
