Practice Operations Manager
Position Summary
The Practice Operations Manager is responsible for overseeing the day-to-day business operations of the veterinary practice while ensuring an exceptional experience for clients, patients, and staff. This role will help drive sustainable growth across veterinary services, grooming, and boarding while improving operational efficiency and team performance.
Working closely with the Practice Owner and Medical Team, the Practice Operations Manager will lead and develop staff, optimize clinic operations, monitor financial and performance metrics, strengthen client retention, and identify opportunities to maximize the value of services offered.
The ideal candidate is a servant leader who enjoys developing people, solving problems, improving processes, working with numbers, and creating a positive environment for both people and animals.
Primary Responsibilities
  • Lead, coach, and support the reception team, veterinary technicians, and support staff to deliver exceptional client service and patient care.
  • Foster a positive, accountable, and team-oriented culture through effective communication, coaching, and performance management.
  • Coordinate onboarding, training, and ongoing professional development for new and existing team members.
  • Oversee daily clinic operations, including appointment scheduling and optimization, staff scheduling, workflow, and overall operational efficiency.
  • Manage inventory levels, purchasing, and vendor relationships to ensure appropriate supplies are available while maintaining cost efficiency.
  • Monitor key performance indicators (KPIs) and prepare monthly performance reports to identify trends, opportunities for growth, and areas for improvement.
  • Support client retention and engagement initiatives while identifying opportunities to increase utilization of veterinary, grooming, boarding, and other available services.
  • Assist with basic bookkeeping, accounting, financial reporting, and expense management.
  • Partner with the Practice Owner and Medical Team to develop and implement operational goals and improvement initiatives.
  • Identify workflow challenges and implement practical solutions that improve efficiency, team performance, and the overall client experience.
  • Ensure clinic policies, procedures, and standards are consistently followed.
Qualifications
Preferred qualifications include:

  • 3+ years of management or supervisory experience.
  • Experience in veterinary medicine, healthcare, hospitality, or another service-focused industry preferred.
  • Strong leadership, coaching, and team-building skills.
  • Excellent verbal and written communication skills.
  • Strong financial and business acumen, including basic bookkeeping and accounting knowledge.
  • Experience using KPIs and performance metrics to drive business results.
  • Strong organizational and problem-solving skills with the ability to manage multiple priorities.

  • Strong computer skills, including Microsoft Office and practice management software.
