About the Role

The Executive Assistant and Office Operations role provides high-level administrative, human resources, and office management support to ensure the efficient day-to-day operations of Famicos Foundation. Reporting to the Executive Director, this position serves as a central coordination point for executive support and office operations while maintaining a high level of confidentiality and professionalism.

Key ResponsibilitiesExecutive and Administrative Support
  • Maintain and manage records for the Executive Director and corporate files
  • Manage Executive Director calendar, scheduling, and office/building usage
  • Prepare correspondence, reports, board materials, minutes, and presentations
  • Answer and manage incoming calls and communications
  • Support organizational reporting, including monthly and quarterly reports
  • Office Operations and Coordination
  • Oversee general office operations, supplies, and inventory control
  • Coordinate reception area coverage, scheduling, and backup support
  • Manage community room scheduling and usage
  • Organizational Support
  • Supervise or coordinate support functions such as reception and related services (as assigned)
  • Maintain professionalism and a positive work environment
  • Complete special projects and additional duties as assigned by the Executive Director
  • Qualifications
  • 35 years of experience in administrative support, office management, and/or human resources
  • Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and general office systems
  • Excellent organizational, recordkeeping, and multitasking abilities
  • Strong written and verbal communication skills
  • Ability to handle sensitive and confidential information with discretion
  • Selfmotivated with the ability to work independently and meet deadlines
