Job Title: Data Analyst
Position Overview:
We are seeking a detail-oriented and proactive Data Analyst to join the Universal Services Department (USD). This high-volume administrative role plays a critical part in enhancing operational efficiency, supporting outreach initiatives, and streamlining data management across key assistance programs such as LIHEAP, Crisis, PAHAF, and other related initiatives. Initially onsite, the role offers the opportunity for a hybrid work arrangement as processes stabilize.
Key Responsibilities:
- Data Management & Reporting:
- Maintain and update presentation materials and dashboards related to program performance and compliance.
- Track and analyze program KPIs, ensuring data accuracy and consistency across multiple systems.
- Compile, analyze, and distribute weekly and monthly performance reports for management review.
- Assist in temporarily filling the gaps in key positions, such as supporting Mark Dong’s responsibilities until a replacement is hired.
- Financial & Payment Processing:
- Review, reformat, and facilitate posting of payment files for programs including LIHEAP, Crisis, PAHAF, Hardship programs, and Girard Estates.
- Reconcile payment data, identify discrepancies, and coordinate resolution efforts.
- Outreach & Campaign Support:
- Prepare and manage outbound call campaigns targeting accounts nearing suspension, recently suspended accounts, and eligible customers for Crisis assistance.
- Track outreach campaign performance metrics such as contact rates and enrollments.
- Maintain outreach logs and ensure timely follow-ups to maximize engagement.
- Program & Case Support:
- Coordinate administrative tasks for programs, including LIHEAP authorization tracking, pre-screening for eligibility, and case documentation.
- Support outreach efforts through the development and distribution of customer communications (letters, emails, SMS).
- Track and support community outreach activities and partnership engagements.
- Administrative & Operational Support:
- Maintain and update internal trackers, systems, and documentation for audit readiness and compliance.
- Assist in developing SOPs, training materials, and supporting system testing or user acceptance testing (UAT).
- Support invoice processing, vendor communication, and other operational activities as needed.
Qualifications:
- Proven experience as a Data Analyst or in a similar administrative/data management role.
- Strong proficiency with data tracking, reporting tools, and dashboard development.
- Excellent analytical skills with meticulous attention to detail and data accuracy.
- Familiarity with program-specific systems and spreadsheets (e.g., Excel, databases, reporting platforms).
- Experience coordinating outreach activities or customer engagement campaigns is a plus.
- Ability to handle high-volume workload efficiently and prioritize tasks effectively.
- Strong communication skills, both written and verbal, for coordinating with teams and community partners.
Work Schedule & Environment:
- Core hours from 8:00 AM to 4:30 PM.
- Initially fully onsite with the possibility of transitioning to a hybrid work setting.
