Job Description Summary
Position Objective:
Sunbelt Rentals is seeking an experienced Sr. Paralegal - Real Estate to join its in-house Legal Department. This role operates with a high degree of autonomy and is responsible for supporting the Company's real estate function, including leasing, acquisitions, dispositions, and portfolio management.
The Sr. Paralegal assists the Real Estate counsel with real estate transactions and related documentation, partnering closely with internal business stakeholders, and outside counsel to efficiently implement and manage the Company's real estate portfolio across the U.S. and Canada.
Position Responsibilities:
Transaction Execution & Documentation
  • Draft, review, and revise real estate documents, including letters of intent, leases (including build-to-suit and retrofit), amendments, subleases, guaranties, estoppels, SNDAs, easements, licenses, and purchase and sale agreements.
  • Coordinate execution, notarization, and distribution of transaction documents.

Deal Management & Coordination
  • Manage and track real estate transactions from inception through closing, including maintaining deal checklists, timelines, and critical dates.
  • Coordinate with internal stakeholders (Real Estate, Finance, Construction, Operations) and external parties (landlords, brokers, developers, and outside counsel) to ensure timely progression of transactions.

Due Diligence & Risk Support
  • Review and summarize title commitments, surveys, zoning reports, environmental reports, and other diligence materials; prepare issue lists and support risk identification.
  • Track resolution of diligence issues and closing deliverables.

Lease Administration & Portfolio Support
  • Maintain and organize lease files, abstracts, and critical terms.
  • Support lease administration by tracking key dates (renewals, options, notice periods) and ensuring compliance with contractual obligations.
  • Assist with lease interpretation and resolution of routine landlord/tenant inquiries.

Closing & Post-Closing Activities
  • Assemble and maintain closing binders and transaction records.
  • Ensure proper storage and indexing of executed agreements and related documents in document management systems.

Systems, Reporting & Data Management
  • Maintain real estate data in lease management systems (e.g., Tririga or similar), including input and validation of key terms.
  • Generate reports, dashboards, and summaries related to portfolio activity, obligations, and trends.

Outside Counsel & Vendor Coordination
  • Assist with engagement and coordination of outside counsel and third-party vendors (e.g., title companies, surveyors).
  • Support budget tracking, invoice review, and matter management.

Process Improvement & Compliance
  • Identify and implement process improvements, standardization of templates, and best practices to enhance efficiency and reduce risk.
  • Maintain form documents, checklists, and internal guidance materials.

Stakeholder Support
  • Serve as a key point of contact for real estate-related inquiries from internal clients.
  • Translate legal and transactional requirements into practical guidance for business stakeholders.

Requirements:
  • Strong knowledge of commercial real estate documentation and transaction processes.
  • Ability to manage multiple transactions and deadlines in a fast-paced environment.
  • Excellent organizational, analytical, and problem-solving skills.
  • AI proficiency to maximize efficiency and streamline processes.
  • High attention to detail and commitment to accuracy.
  • Strong written and verbal communication skills.
  • Proficiency in Microsoft Office (Word, Excel, Outlook) and document management systems.
  • Experience with lease management software (e.g., Tririga) preferred.
  • Ability to exercise sound judgment, maintain confidentiality, and operate with a high degree of independence.
  • Strong interpersonal skills and ability to collaborate effectively across functions.
  • Ability to translate complex legal concepts into practical, business-friendly terms.

Education & Experience:
  • Bachelor's degree or equivalent experience in paralegal studies or a related field.
  • ABA-approved paralegal certificate preferred.
  • Minimum 5-7+ years of progressively responsible paralegal experience, with a focus on commercial real estate transactions.
  • Demonstrated experience supporting leasing, acquisitions/dispositions, and transaction management with minimal supervision.
  • Experience reviewing title, survey, and due diligence materials preferred.

Physical Demands:
Must be able to bend, squat, crouch and/or reach and lift up to 25 pounds or more, as required by the job. Some Sunbelt jobs may require driving for long periods of time, loading and unloading heavy equipment, performing work in extreme weather conditions including rain, wind, or excessive temperatures and/or night and weekend work. Base Pay Range: $74,501.00 - 102,438.60
