Job description

As our Real Estate Executive Assistant, you will play a crucial role in the efficient functioning, operations, and growth of our real estate team. You will be responsible for overseeing day-to-day transaction management (Listing to Close), implementing and optimizing internal processes, and collaborating with team members to enhance productivity and client satisfaction.


The ideal candidate is highly organized, proactive, and thorough. You should have an exceptional communication style, a strong capacity for managing hard deadlines, and a passion for creating a positive, thriving work environment.

This is a full-time, in-person opportunity based out of our office in Midtown Raleigh.

Compensation:

$50,000 - $55,000 yearly


Responsibilities:

Process Optimization & Tech Management:

  • Evaluate and refine existing operational processes to enhance team efficiency and eliminate workflow bottlenecks.
  • Implement and manage real estate technology solutions to streamline workflows and increase productivity.
  • Provide training and troubleshooting support to team members on the use of new systems and tech tools.
  • Address operational or administrative issues that may impact the overall client experience.


Transaction Management (Listing to Close):

  • Create, maintain, and execute Listing to Close systems, checklists, and the Post-Closing process.
  • Keep the entire team updated on the progress of all contracts and advise agents when they need to become directly involved in negotiations or problem resolution.
  • Act as the primary point of contact for customers, clients, other agents, attorneys, and service providers throughout the closing process.
  • Ensure a fiduciary level of service is delivered seamlessly from contract execution to the closing table.
  • Manage past-client programs, including updating the Compass CRM with new contact information and setting clients up on automated or touchpoint retention campaigns.


Team Collaboration & Marketing Support:

  • Foster a collaborative, positive, and mission-first work environment.
  • Conduct regular meetings with team leadership to discuss ongoing projects, challenges, and new opportunities.
  • Assist in assembling content for team meetings, community newsletters, vendor partnerships, and client appreciation events.

Qualifications:
  • Location: Ability to work in-person daily at our Midtown Raleigh office.
  • Experience: Prior experience in real estate operations, administration, or transaction coordination is highly preferred (but not required for an incredibly sharp coordinator).
  • Tech Savvy: High proficiency with the Google Workspace (Docs, Sheets, Slides, Drive) and a quick adaptability to real estate tech (Compass CRM experience is a major plus).
  • Skills: Exceptional time management, radical attention to detail, and the ability to handle highly confidential personal and financial client information.
  • Licensing: An active North Carolina Real Estate License is a bonus, but not a requirement.
