Overview:Randazzo Heating, Cooling & Electrical, a leading provider of HVAC services, is seeking a highly productive and detail-oriented Permits Coordinator. This role primarily supports the Randazzo brand but also assists other regional brands. The ideal candidate will excel in a fast-paced, repetitive work environment, demonstrating exceptional accuracy, attention to detail, and strong communication skills. As a Coordinator, you will play a pivotal role in supporting our operations and ensuring seamless coordination of administrative tasks.

Key Responsibilities:

Permit Processing:

  • Prepare and submit permit applications for HVAC installations and services.
  • Ensure all permits are obtained promptly and in compliance with local regulations.
  • Maintain accurate records of all permit applications and statuses.
  • Process letters for notification of permit applications

Customer Communication:

  • Communicate with customers regarding permit requirements and processes.
  • Schedule appointments with the appropriate municipality/city/township.
  • Provide updates to customers on the status of their permits.
  • Address and resolve any permit-related inquiries or issues.

Coordination and Support:

  • Coordinate with internal teams, including installation and service departments, to ensure all necessary permits are acquired before work begins.
  • Support other regional brands in the preparation and submission of permit applications.
  • Assist in the development and implementation of permit-related processes and procedures.

Data Entry and Typing:

  • Perform data entry tasks with a high level of accuracy.
  • Maintain electronic and paper filing systems for permit documentation.
  • Utilize strong typing skills to complete forms and documentation efficiently.

Compliance and Reporting:

  • Ensure all permit activities comply with company policies and local regulations.

Qualifications:

  • High school diploma or equivalent required; associate degree or higher preferred.
  • Previous experience in a permit coordination or administrative role, preferably in the HVAC industry.
  • Exceptional attention to detail and accuracy in repetitive tasks.
  • Strong organizational and time-management skills.
  • Excellent customer service and communication abilities.
  • Proficient typing skills and experience with data entry.
  • Ability to work independently and as part of a team.
  • Familiarity with local building codes and permit regulations is a plus.
  • Familiarity with ServiceTitan is a plus
