Job description

Job Title: Vendor Coordination and Billing Specialist

Position Purpose

Coordinates and monitors Client vendors to ensure project timelines and resourcing is met, while ensuring project costs and billings are accurately tracked and processed on behalf of the client. Key customers include Principal, Officers, Construction Managers and Project Managers, and outside clients.

Principal Accountabilities

In addition to following CMG’s policies and procedures, principal accountabilities include, but are not limited to:

Core Responsibilities

· Maintain relationships between CMG, Inc., and clients, outside consultants, contractors, and suppliers.

· Coordinate, monitor and track client vendors, including timelines and project costs.

· Support project management team with schedule updates and delivery notifications.

· Assist with the project closeout package, including final pay apps and related documentation.

· Assist client on PO creation, processing and tracking for vendors and contractors.

· Review requisition requests and provide applicable information for client approval.

· Communicate regularly with vendors, contractors and PM team on required updates.

· Develop and maintain appropriate database applications, including COUPA and QUICKBASE

· Publishes and maintains various reports.

· Ensures files are organized, maintained, and updated.

· Provide information that supports the planning process.

· Develops and achieves annual individual goals aligned with company goals.

Workflow Responsibilities

· Provide input to work plan, development goals and performance appraisal process.

· Develops systems to streamline and gain efficiencies in work process.

Special Projects

· Ensure working knowledge of clients reporting and database systems.

· Provides updates to clients as required.
