Mechanical Systems & Services (MSS) is seeking a highly organized and detail-oriented Construction Admin to support our growing construction and commercial HVAC operations. This position plays a key role in keeping projects organized, assisting project managers, coordinating documentation, and ensuring the office operates efficiently.

What You'll Do

  • Provide administrative support to Project Managers and construction operations.
  • Prepare, organize, and maintain project files, contracts, submittals, RFIs, change orders, and closeout documentation.
  • Assist with scheduling meetings, coordinating project communications, and tracking project milestones.
  • Process purchase orders, invoices, and other project-related documentation.
  • Maintain accurate records and enter project information into company software systems.
  • Answer incoming phone calls, greet visitors, and provide professional customer service.
  • Coordinate with vendors, subcontractors, field personnel, and customers to ensure timely communication.
  • Assist with office organization, filing, data entry, and other administrative duties as assigned.

Qualifications

  • Previous administrative experience in construction, HVAC, mechanical contracting, or a related industry preferred.
  • Strong organizational skills with exceptional attention to detail.
  • Excellent verbal and written communication skills.
  • Proficient with Microsoft Office (Word, Excel, Outlook); experience with construction software is a plus.
  • Ability to manage multiple priorities while meeting deadlines.
  • Positive attitude, strong work ethic, and a team-oriented mindset.
