Position Summary:
The Project Coordinator/Planner - Facilities repairs functions associated with the company's facilities as requested. This position follows departmental procedures and meet the terms with trainings and compliance while working in the maintenance program and repairs planning activities. This position manages critical spares and consumable inventories work requests.
Duties and Responsibilities:
  • Contact vendors to request quotes for parts and services needed.
  • Visit the different job sites to define the project scope of work and materials needed.
  • Keep track of the project status for each facility.
  • Request purchase orders (POs) from the Purchasing Department and monitor their status.
  • Coordinate the delivery or pickup of parts, tools, and other materials.
  • Follow up with the suppliers on pending delivery of goods.
  • Procure emergency items using the company credit card.
  • Submit and file the materials receiving documentation.
  • Manage and track inventory of tools and equipment.
  • Monitor and replenish facilities supplies as needed (e.g., janitorial, consumables).
  • Assist in the proper disposal of government assets. Document the transfer and disposal of assets as required by contract.
  • Ensure availability of personal protective equipment (PPE).
  • Keep track of licenses and certifications required. (PITs, refrigeration, heavy driver licenses, etc.)
  • Keep the Safety Data Sheets (SDS) binder updated.
  • Keep training records in the Computerized Maintenance Management System (CMMS) HELM.
  • Perform hands-on work as needed.
  • Safety First. Be an active advocate of, and participant in, the Safety Culture. Safety shall always remain the highest priority.
  • Remain true to and champion the Company's RESPECT Values and Code of Conduct.
  • Use proper Personal Protective Equipment (PPE).
  • Perform duties professionally, accurately, and enthusiastically.
  • Develop positive working relationships with the client, vendors, contractors, and regulatory agencies.
  • Present professional customer service and appearance to all internal and external clients.
  • Additional job duties as assigned.

Requirements & Qualifications:
  • Associate degree or higher
  • Knowledgeable in facility maintenance, including HVAC systems, construction, electrical work, welding, and related disciplines
  • Valid Transportation Worker Identification Credential (TWIC Card), and/or ability to obtain and maintain
  • Valid Driver's License
  • 2 years' experience in procurement of parts and services
  • Knowledge in MS Office (Excel, Outlook, Word)
  • Good verbal and written communication skills
  • Well-developed interpersonal skills.
  • Bilingual (preferred)
  • Demonstrated organization skills with experience in documentation management
  • Must be at least 18 years of age.
