This role is based in our NY office.

Untitled Art Fairs is hiring a VIP Relations & Programming Specialist.

In this role, you will work closely with the Head of VIP Relations to create and implement strategies aimed at enhancing VIP development and engagement, along with planning year-round and on-site programming for the Houston and Miami Beach editions of the fair.

This is a full-time, temporary position set to conclude on December 31, 2026, with the opportunity for a permanent role depending on your performance and the needs of the company.

Key Responsibilities

VIP Data and CRM Management (~30%)

  • Oversee the maintenance and management of the fair’s CRM database, ensuring accurate data capture, thorough analysis, and comprehensive reporting
  • Review VIP applications weekly (daily in the weeks leading up to the fairs) and assign VIP status based on established protocols.
  • Collaborate with Head of VIP Relations to review invitation lists for each fair according to deadlines
  • Assist the Communications team in maintaining up-to-date lists for VIP communications and newsletters.
  • Conduct biannual CRM audits to update VIP statuses and tags, remove duplicates, review opt-outs and unsubscribed contacts, and archive inactive records.
  • Support the ongoing development and organization of the CRM database
  • Perform post-event data analysis to evaluate the success of VIP initiatives and provide actionable insights for future improvements.

VIP Relations & Communications (~20%)

  • Respond promptly and professionally to VIP inquiries via the VIP inbox.
  • Serve as the VIP Desk Manager at Untitled Art, Houston, and Miami Beach, including help with training and overseeing temporary VIP staff, and ensuring a seamless and positive on-site experience for VIPs.
  • Liaise with VIP groups, institutions, cultural partners, and exhibitors regarding the VIP registration process
  • Facilitate on-site tours with fair directors and section curators for institutions and other VIP groups

VIP Programming (~30%)

  • Coordinate the VIP Program for both fair editions, assisting with event development and scheduling, drafting descriptions and publishing schedules.
  • Oversee and manage the fair’s extensive public programming at both fairs, including performances, special projects, and the podcast series
  • Devise a communications strategy to promote this public programming, and assist with podcast postproduction
  • Collaborate with the Head of VIP Relations and Fair Directors to plan and organize year-round VIP programming, including formalizing itineraries, compiling and organizing guest lists, and supporting event logistics.
  • Work with partners and the catering team to coordinate on-site VIP receptions.

VIP Development (~20%)

  • Conduct ongoing research to identify and profile collectors, institutions, and key art world stakeholders.
  • Support the development and cultivation of long-term relationships with VIP guests, fostering meaningful connections to enhance engagement with the fair.
  • Assist in creating and implementing strategies to engage new audiences, with a focus on increasing reach and diversity of the VIP database

Qualifications:
Qualifications

  • Bachelor’s degree in art history, arts administration, marketing, or a related field.
  • At least 2-5 years relevant experience in the art world.
  • Excellent written and verbal communication skills.
  • Strong analytical skills and attention to detail.
  • Exceptional client service skills, with a calm demeanor and approachable manner.
  • Ability to work under pressure, meet deadlines, and collaborate effectively within a team.
  • Proficiency in Google Workspace and Microsoft Office, particularly Excel.
  • Experience with CRM systems
  • Flexibility to travel and work weekends as required.
  • Hybrid position with two days in-person required.

The salary range for this role is $60,000 — 67,000 based on experience.
