Job description

Summary: As an integral member of the Data Management Team (DMT), the Data Coordinator plays a vital role in maintaining the accuracy, integrity, and effectiveness of program databases. Reporting directly to the Data Manager and the Assistant Data Manager, with additional guidance from the Borough Director, the Data Coordinator is responsible for tracking program discrepancies, managing databases, and identifying data trends that impact program outcomes. This role requires proactive collaboration with the Program Management Team to streamline processes, develop data-driven action plans, and ensure compliance with funder requirements. The Data Coordinator will oversee key data systems, including DYCD Connect, Salesforce, Cityspan, and EZReports, while also driving Continuous Quality Improvement (CQI) initiatives to support organizational goals. Additionally, the Data Coordinator will conduct audits, facilitate quarterly meetings for Data Specialists, and perform site visits to ensure data accuracy and compliance across all sites.


Primary Job Functions (but are not limited to):

  • Database Management: Oversee and manage databases for assigned programs, including DYCD Connect, Salesforce, Cityspan, and EZReports. Ensure data is consistently updated, organized, and accurately maintained to support program success.

  • Data Accuracy: Collaborate with site Data Specialists to ensure complete and precise data entry. Proactively identify and troubleshoot discrepancies related to activity and attendance data, implementing solutions to resolve issues efficiently.

  • Reporting & Analysis: Collect, organize, and analyze program data to identify trends, gaps, and areas for improvement. Work closely with the Program Management Team and Data Management Team (DMT) to develop targeted corrective action plans and programming interventions that address identified challenges.

  • Compliance & Communication: Ensure all sites adhere to funder requirements and maintain up-to-date data for compliance purposes. Serve as a consistent point of contact for stakeholders, providing clear communication regarding data issues, updates, and information supporting Continuous Quality Improvement (CQI) initiatives.

  • Audits & Reviews: Conduct regular data audits to validate information accuracy and ensure alignment with DYCD workscopes. Support Program Managers by providing data insights, analysis, and troubleshooting assistance as needed.

  • Support & Training: Provide comprehensive training and ongoing support to site-level Data Specialists. Conduct data audits as needed, facilitate Data Specialist Quarterly Meetings to review updates and best practices, and conduct regular site visits to assess data quality and offer guidance.

  • Support Data Management Team: Assist the DMT with data requests, ensuring prompt and accurate responses. Play an active role in the onboarding and training of new Data Specialists to ensure they are well-equipped to manage site data effectively.


Secondary Responsibilities:

  • Data Specialist Support: Maintain ongoing communication with site-level Data Specialists and the Data Management Team (DMT) to provide guidance, address concerns, and troubleshoot data-related issues. Ensure all sites remain compliant with established data protocols and requirements.

  • Program Knowledge: Develop and comprehensively understand each site's program goals, contractual obligations, and operational requirements to provide informed data support and ensure alignment with organizational objectives.

  • Hiring & Onboarding Support: Assist in interviewing and onboarding new Data Specialists. Ensure new staff receive comprehensive training, resources, and support to manage site data and fulfill their responsibilities confidently.

  • Reporting: Generate and analyze reports to assess program performance, identify trends, and track progress against key benchmarks. Collaborate with Program Managers to review findings, provide insights, and recommend data-driven strategies for improvement.

Required Qualifications and Skills:

  • High School Diploma required; Associate’s or Bachelor’s degree strongly preferred.

  • Experience delivering training sessions or facilitating group discussions.

  • Strong attention to detail with a focus on data accuracy.

  • Ability to manage multiple tasks and meet deadlines efficiently.

  • Excellent written and verbal communication skills.

  • Proficient in online databases such as DYCD Connect, Salesforce, CitySpan, and EZReports.

Required Experience:

  • 2-4 years of experience in database management, including data entry, analysis, and reporting.

  • Prior experience with DYCD Connect and/or Salesforce is strongly preferred.
