Proposal Development Coordinator information

What does a proposal development coordinator do?

A Proposal Development Coordinator is responsible for organizing and managing the creation of proposals, typically in response to requests for proposals (RFPs) from clients or funding agencies. They coordinate between various departments, gather necessary information, and ensure that proposals are accurate, compliant, and submitted on time. Their role often includes editing, formatting, and reviewing documents, as well as tracking deadlines and managing proposal-related communications. Strong organizational and communication skills are essential for this position.

What are the key skills and qualifications needed to thrive as a proposal development coordinator, and why are they important?

To thrive as a Proposal Development Coordinator, you need strong project management, writing, and editing skills, typically supported by a bachelor’s degree in communications, business, or a related field. Familiarity with proposal management software (such as RFPIO or Qvidian), Microsoft Office Suite, and knowledge of RFP processes are essential. Excellent attention to detail, collaboration, and time management are standout soft skills in this role. These abilities are crucial for producing high-quality, compliant proposals on tight deadlines, directly impacting an organization’s ability to win new business.

What are some common challenges faced by proposal development coordinators during the proposal process?

Proposal Development Coordinators often face tight deadlines and shifting client requirements, which can make organizing resources and meeting submission timelines challenging. Coordinating input from multiple stakeholders—such as subject matter experts, writers, and graphic designers—requires strong communication and project management skills. Additionally, ensuring compliance with complex RFP guidelines and maintaining document quality standards demands attention to detail. Overcoming these challenges involves proactive planning, clear communication, and effective time management.

  • Harness AI and emerging technologies to accelerate proposal development, improve response quality and increase team capacity, while identifying new opportunities based on market intelligence, client feedback and competitive insights.
  • Track proposal performance, including win rates, timelines and client feedback, and use insights to continuously improve processes and outcomes.
  • Help shape commercial messaging and value propositions that resonate with customers across therapeutic areas and geographies.
  • Anticipate and resolve proposal and client-engagement challenges, acting as a trusted advisor and champion for Evinova throughout the process.

Essential Skills and Experience:
  • Bachelor's degree in a relevant field.
  • 5+ years of experience in proposal development, bid management or pre-sales within life sciences technology, pharmaceutical, biotech or CRO environments.
  • Strong understanding of clinical development and the broader pharmaceutical, biotech and CRO landscape.
  • Proven experience developing strategic, high-impact proposals that translate complex customer challenges into compelling solutions and value propositions.
  • Excellent written and verbal communication skills, with the ability to turn complex technical concepts into clear, persuasive messaging for diverse audiences.
  • Strong analytical and problem-solving skills, with the ability to identify customer needs and connect them to the right capabilities and solutions.
  • Demonstrated ability to influence, build relationships and collaborate effectively across functions without direct authority.
  • A customer-first mindset, with a genuine interest in solving challenges for clinical development teams and ultimately improving the patient experience and outcomes.

Highly Desirable for the Role:
