Proposal Capture information

What is a proposal capture professional?

A Proposal Capture professional is responsible for leading and managing the process of identifying, pursuing, and securing new business opportunities, usually in response to formal requests such as Requests for Proposals (RFPs). They collaborate with sales, technical, and management teams to develop winning strategies, gather requirements, and ensure proposals meet client needs and compliance standards. Their work is crucial for organizations competing for contracts in industries like government, defense, and large-scale commercial projects. Proposal Capture professionals often oversee the entire lifecycle of a proposal, from opportunity assessment to submission and post-submission follow-up.

What are some common challenges faced by proposal capture professionals during the proposal development process?

Proposal Capture professionals often face tight deadlines and the need to coordinate input from multiple stakeholders across departments, such as technical teams, pricing analysts, and subject matter experts. Balancing compliance with client requirements while crafting a compelling, winning narrative can be challenging. Additionally, managing last-minute changes and ensuring all contributions are integrated smoothly requires strong organizational and communication skills. Adaptability and collaboration are key to overcoming these challenges and delivering high-quality proposals.

What are the key skills and qualifications needed to thrive as a proposal capture manager, and why are they important?

To thrive as a Proposal Capture Manager, you need expertise in business development, proposal writing, and market analysis, typically supported by a bachelor's degree and experience in sales or government contracting. Familiarity with customer relationship management (CRM) systems, proposal management software (e.g., Shipley, Microsoft Office Suite), and knowledge of federal acquisition regulations are often required. Strong project management, communication, and leadership skills help you coordinate cross-functional teams and build client relationships. These abilities are crucial for developing competitive proposals, winning new business, and ensuring organizational growth.

What is the difference between Proposal Capture vs Proposal Writer?

AspectProposal CaptureProposal Writer
Primary FocusIdentifying opportunities and securing new business through strategic effortsCreating, writing, and editing proposal documents
Skills NeededBusiness development, market research, client engagementWriting, editing, compliance with RFP requirements
Work EnvironmentSales teams, business development departmentsProposal teams, technical and content writers
Common UsagePre-sales, opportunity qualificationProposal development, document preparation

Proposal Capture focuses on identifying and securing new business opportunities by engaging with potential clients and understanding their needs. Proposal Writers, on the other hand, concentrate on crafting compelling proposal documents that meet client requirements. Both roles are essential in the proposal process but serve different stages: capture is about winning the opportunity, while writing is about presenting the solution effectively.

Job description

Join AutogenAI - Revolutionizing Proposal Writing with generative AI

AutogenAI is a leader in generative AI SaaS, transforming how organizations draft and optimize winning proposals through cutting-edge natural language processing technology. We are one of the fastest-growing AI companies in the world, expanding rapidly to meet the increasing demand for AI-driven solutions across industries.

Our innovation stems from a belief that language AI technology will revolutionize business communication over the next decade. We empower our clients to grow faster and more efficiently by delivering AI language engines customized to their needs that save time, improve content quality, and increase win rates in highly competitive markets.

AutogenAI is a company where everyone can have a career-defining experience and success is achieved by fostering a culture where innovation and ambition thrive. As we scale, passionate professionals are invited to join our journey of innovation, helping shape the future of AI-powered business solutions.

Job Summary:

If you have run proposals, you know the parts that never make it into a job description. The 2am submission. The weekend lost to a compliance matrix. The reviewer comment that lands after the section is already locked. This role is for someone who has lived that and wants their judgement to count for more than what they can personally write before a deadline.

AutogenAI is seeking a proactive and customer-focused Proposal Manager to join our team. In this role, you'll be the primary guide for new customers, ensuring they have a seamless and positive experience implementing our platform. You'll manage onboarding journeys, configure the platform to meet customer needs, deliver impactful training, and drive early adoption and engagement. Your work will help customers reach key milestones and set the stage for long-term success with AutogenAI.

On AI, plainly: this role exists because deep proposal expertise is what makes the technology work, not what it replaces. The judgement you have built about what wins is the input the platform cannot generate on its own. Your job is to teach proposal teams to direct it.

You do not need software or SaaS experience. We will teach you the platform. We cannot teach proposal craft.

Location:

This role is hybrid with the expectation of ~2 days per week in our Midtown NYC office, or with clients (some travel to DC may be required).

What you'll be responsible for:
  • Customer Onboarding: Welcome new customers and guide them through their onboarding journey, ensuring a smooth and successful start with AutogenAI.
  • Project Management: Create and manage tailored project plans, ensuring timelines, milestones, and deliverables are consistently achieved.
  • Platform Configuration: Configure the AutogenAI platform to meet customer-specific requirements, ensuring early value and adoption.
  • Training Delivery: Deliver comprehensive onboarding training sessions-both foundational and advanced-in virtual or in-person formats.
  • Proposal Workflow Alignment: Help customers connect the platform to their existing proposal workflows, including RFP intake, compliance review, annotated outlines, content reuse, review cycles, writing assignments, and deadline-driven submissions.
  • Customer Engagement: Provide proactive support and guidance throughout the implementation phase, ensuring customers feel confident and supported.
  • Cross-Functional Collaboration: Work closely with Customer Success and Product teams to ensure continuity, share feedback, and create a seamless customer experience.
  • Customer Communication: Maintain consistent communication to keep customers informed on progress, platform updates, and key next steps.
  • Customer Handover: Coordinate smooth handoffs to Customer Success post-implementation, supporting strong ongoing relationships.
What the work actually looks like:

A representative week runs several accounts at once, each at a different stage of trust. A discovery or value alignment session with a new client's proposal leadership and other members of our team. A technical working session diagnosing a compliance-matrix or requirement-parsing problem that is blocking a live pursuit. Running a foundations or skill-clinic session for their writers and reviewers. You are supporting proposal writers across four or five accounts simultaneously. You do not own the submission deadline, but you do own whether the client trusts the tool enough to use it when that deadline hits.

What You'll Bring to the Team:
  • Proposal Fluency: Practical understanding of proposal development, including RFP review, compliance, outlines, content reuse, color reviews, proposal deadlines, and the roles of capture, business development, proposal management, SMEs, and executives.
  • Customer-Centric Mindset: A passion for delivering high-quality, impactful experiences tailored to customer needs.
  • Project Management Skills: Proven ability to manage multiple client projects simultaneously with strong attention to detail.
  • Exceptional Communication: Confident communicator with strong presentation skills; able to engage a range of stakeholders.
  • Stakeholder Management: Experience guiding groups of people through a process they have not run before, whether that is a proposal kickoff, a capture review, a training session, or a client engagement.
  • Communication Skills: Exceptional written and verbal communication skills, with experience delivering training and presentations.
  • Cross-Functional Collaboration: Ability to work effectively with sales, customer success, and product teams to deliver a seamless client experience.
  • Adaptability: Comfortable working in a dynamic, fast-paced environment (previous startup or consulting experience preferred)
  • Technical Acumen: Ability to quickly learn and adapt our platform to customer use cases and workflows.
Bonus Points:
  • Start-Up Experience: Previous experience leading onboarding projects in a fast-paced startup environment.
  • AI Software Knowledge: Familiarity with AI software and applications.
  • Federal, GovCon, or complex proposal experience: Direct experience working in, supporting, or selling to proposal teams in U.S. Federal, public-sector, GovCon, defense, healthcare, infrastructure, engineering, or similarly complex procurement environments.
Compensation and Benefits:
  • Competitive Salary: $100,000 - $120,000 basic salary (depending on experience and location), plus opportunities for variable attainment, depending on specific experience and qualifications relevant to the role.
  • Stock Options: Meaningful equity in the company.
  • Comprehensive medical/dental/life insurance: Insurance coverage for individuals and families partially paid by the company as well as opportunity to participate in pre-tax health Flexible Spending Account.
  • Retirement Plan: Ability to invest your pre-tax dollars in a 401(k) retirement plan with company matching contributions.
  • Paid Time Off: Unlimited vacation (Yes, you read right!)
  • Flexible Work Options: This role is hybrid with the expectation of ~2 days per week in our Midtown NYC office, or with clients.
  • Paid parental leave: 12 weeks if you've just given birth, 4 weeks if your partner has just given birth (after one year of year of service)
  • Additional Perks: Your choice of laptop (Mac or Windows), regular company events to connect with teammates, and opportunities for continued professional development.
Our Principals - Culture in Action
  • Customers, Customers, Customers - We win when our customers win. We speak their language, understand their needs, and believe in our product because we use it ourselves.
  • Make It Happen - We act with urgency, take initiative, and focus on outcomes. If something needs doing, we do it-asking for forgiveness, not permission.
  • Learn & Adapt - We embrace curiosity, continuous learning, and bold experimentation. Facts change, so we change our minds. Failures are lessons that push us forward.
  • We Are All Owners - We own challenges, break the rules when necessary, and value reasoning over authority. No blame, just problem-solving.
  • Raise the Bar - Good enough isn't enough. We push boundaries, move fast, and believe there's always a next level.
  • Respect & Inclusion - Different perspectives make us stronger. We listen first, act with integrity, and always do what we say we will.
  • Trust & Transparency - We are open, honest, and direct. Feedback flows freely, knowledge is shared, and we assume positive intent.
