RESPONSIBILITIES OF THE POSITION

  • Support field teams in executing installation plans for structural, mechanical, or seismic systems.
  • Conduct job walks and site inspections to ensure work aligns with project requirements.
  • Assist in managing on-site logistics, material deliveries, and subcontractor coordination.
  • Track daily progress and assist with updates on scheduling and task completion.
  • Maintain and organize project documentation, including daily reports, meeting minutes, logs, trackers, and correspondence.
  • Manage Nexus to organize and optimize project data.
  • Attend project meetings, participate actively, and record clear, detailed meeting minutes.
  • Create and maintain project logs, spreadsheets, and trackers for deliverables, tasks, and scheduling.
  • Draft purchase orders under guidance from the Project Manager; coordinate issuance and tracking.
  • Track billable hours and assist with accurate billing processes.
  • Develop and revise purchasing worksheets based on evolving project needs.
  • Monitor and support schedule management, including documenting and executing schedule change orders.
  • Escalate project delays or field issues to the Project Manager or Senior Coordinator as needed.
  • Interact professionally with customers, engineers, PMs, and sales staff to facilitate project success.
  • Conduct procurement activities, including identifying quality products, vendor outreach, contract prep, and negotiations.
  • Monitor vendor performance, track deliveries, and report back-ordered, changed, or missing items immediately.
  • Coordinate with engineering teams to align project requirements with product and service needs.
  • Monitor project budgets, material costs, and delivery expenses to support cost control.
  • Identify opportunities for process improvement and operational efficiency.
  • Build and maintain strong relationships with management, suppliers, and field staff.
  • Contribute to developing and maintaining an effective purchase order tracking system.
  • Perform other duties and adapt to additional tasks as required to meet project and team goals.

QUALIFICATIONS AND SKILLS

  • 3โ€“5 years of experience in field support, project coordination, or construction operations.
  • Ability to read, analyze, and interpret technical documents, construction drawings, and applicable regulations.
  • Effective oral and written communication skills across all levels of the organization.
  • Proficient in writing business correspondence and presenting information to both internal teams and external stakeholders.
  • Strong organizational skills with excellent attention to detail and file/document management.
  • Proficient in Microsoft Office Suite (Excel, Word, Outlook); basic mathematical skills for calculating variances, financial ratios, and field measurements.
  • Experience with or willingness to learn software tools such as AutoCAD, Revit, and Navisworks.
  • Basic understanding or willingness to learn applicable industry codes, including ASCE-7, IBC, UFC, and CBC.
  • OSHA 10 or 30 certification preferred.
  • Valid driverโ€™s license with the ability to travel to job sites as needed.
  • Adaptable, dependable, and able to thrive in dynamic, fast-paced environments.
