Scheduling Coordinator

Job Description

POSITION SUMMARY: Responsible to perform scheduling functions for Field Service Representatives and District Team Leaders in the assigned region for installation, repair, and maintenance of equipment at customer sites. This position will also provide a wide variety of secretarial and administrative duties for the regional office team.

ESSENTIAL FUNCTIONS:

  • Work with Regional Service Manager and Regional Technical Support Specialist to coordinate service schedules for region including service calls, installations, demonstrations, and training sessions.
  • Responsible for daily scheduling and transportation arrangements for all Stiles Service Representatives.
  • Create & process or review Customer Service Reports (CSRs), for assigned region, National Service & Special Projects Regions including review & approval of timesheets, travel requests, and receipts.
  • Coordinate meeting with appropriate Service Department personnel and Sales Engineer prior to installation to ensure customer's installation expectations are met.
  • Schedule installations in appropriate software.
  • Provide support to Regional Service Manager, District Team Leaders & Field Service Representatives.
  • Follow up with customers prior to installations to ensure pre-installation requirements are met.
  • Act as primary office contact for customers, sales/service/customer base for the coordination of efforts regarding the sales, install, service, follow-up, etc. within the assigned region.
  • Coordinate with all regions for effective and cost-efficient scheduling and in-house service needs.
  • Communication link between FSR's on loan to other regions and that region's Regional Service Manager.
Qualifications

Three years of administrative experience in fast-paced office environment. Associates Degree preferred. Sales or Service experience preferred SAP and Salesforce experience preferred.
