Job description

Summary
The Project Cost Control Analyst supports the billing function within the Project Cost Controls group by assisting with high-volume monthly invoicing, ensuring accuracy, and helping the team meet the department's 14-day turnaround requirement.
Responsibilities include preparing invoices in SAP, performing routine account and system reconciliations, maintaining organized billing records, and assisting in resolving discrepancies for internal and external stakeholders. The position also contributes to monthly performance reporting, budget tracking, and data organization using Excel, while maintaining up-to-date client billing records, payment histories, and project hour tracking. #LI-AE1 #LI-Hybrid
Responsibilities
  • Participate in development of work breakdown structures based on approved estimates to initiate and update projects funding authorizations.
  • Develop and update project cash flow reports, variance reports and monthly accrual reports.
  • Assist Project Owners with cost information in preparation of Trustee Items, and development of the itemized pricing section for bid specification.
  • Act as the point of contact for project teams for all matters regarding project financials.
  • Ensure that the team is following best practices for project cost management.
  • Interface and coordinate with stakeholders, both internal and external, on all cost information.
  • Maintain department procedures
  • Monitor and verify project invoices, partial estimates and ensure accurate and timely payments.
  • Assist in processing Additional Work Authorization Change Orders, Claims, etc.
  • Coordinate cost updates with project schedules for monitoring the progress of the project and analyzing the effects schedule change has on project cash flow and milestone dates.

Knowledge, Skills and Abilities
  • Ample experience using Microsoft Office tools such as Excel, Word, Outlook, Project experience is preferred.
  • Ability to provide all cost control support for assigned projects with minimum supervision.
  • Must be aware of cost management principles and fundamentals, and is responsible for keeping up with changes and advancements in the industry.
  • Excellent interpersonal and time management skills.
  • Ability to focus on the results of data and data analysis.
  • Ability to communicate complex data and processes to stakeholders who may be less familiar.
  • Strong project cost control skills.

Education, Experience and Certifications
  • Bachelor's Degree.
  • Minimum 3 years of related work experience.
  • Significant experience managing projects or conducting project analysis, preferred.

Physical Requirements
  • Up to 30% travel primarily within NY State; to NYPA facilities.
  • Ability to travel to NYPA facilities to support construction activities and to monitor equipment installations and commissioning for length of time needed.
