Role Summary
As an Administrative Assistant, you'll provide administrative and operational support that helps our Legal team work efficiently and effectively. You'll coordinate legal invoices, vendor onboarding, legal hold activities, and day-to-day administrative tasks while maintaining accuracy, organization, and confidentiality. This role offers an excellent opportunity to build your skills in legal operations and grow your career within a collaborative team.

Key Accountabilities

  • Coordinate legal matter setup, engagement letters, and matter information within legal management systems.

  • Manage law firm invoice workflows, payment processing, and shared mailboxes to ensure timely responses and resolution.

  • Support onboarding of outside law firms by coordinating contracts, billing setup, insurance documentation, and ongoing compliance monitoring.

  • Maintain legal hold records by reviewing questionnaires, tracking responses, and following up with stakeholders to meet deadlines.

  • Provide administrative support through calendar management, meeting coordination, document preparation, mail distribution, and office operations.

  • Communicate professionally with internal and external partners while handling confidential information with discretion.

  • Assist project teams by maintaining documentation, meeting minutes, schedules, and project-related records.


Education & Experience

Required

  • High school diploma or equivalent.

  • Less than 2 years of banking, administrative office, or related professional experience.

  • Strong organizational skills with exceptional attention to detail.

  • Excellent written and verbal communication skills.

  • Proficiency with Microsoft Office, including Outlook, Word, Excel, and PowerPoint.

  • Ability to manage confidential information with professionalism and discretion.

Preferred

  • Experience supporting legal operations, legal departments, or professional services environments.

  • Experience with invoice processing, matter management systems, or vendor management.
