Job description

We are looking for a detail-oriented Contracts Admin/Project Assistant to support construction projects and contract administration activities in Concord, CA. This contract opportunity is ideal for someone who enjoys keeping project documentation organized, coordinating compliance-related tasks, and helping teams stay on schedule. The person in this role will work closely with contract and risk functions to maintain accurate records, assist with subcontract and purchase order processing, and support day-to-day administrative operations.


Contracts Admin/Project Assistant Responsibilities:

• Create and maintain project tracking systems for contract documents, insurance records, and union-related status information to ensure files remain accurate and accessible.

• Review subcontracts and purchase orders for completeness and accuracy, then record, scan, and organize documents for ongoing project oversight.

• Assist with preparing project startup materials, including support for new project documentation packages and related contract paperwork.

• Coordinate preliminary notice, lien, and release documentation by monitoring vendor compliance and tracking required filings.

• Support project compliance efforts by identifying discrepancies in documentation and helping resolve outstanding issues in a timely manner.

• Request, examine, and maintain project certificates of insurance, ensuring records meet company and project requirements.

• Update compliance reports, logs, and internal databases to provide clear visibility into contract and risk-related project status.
