Job Title: Project Manager Assistant

Location: Tulsa, OK (Regular Commute to Muskogee Required)

Pay: $65,000–$70,000 (DOE)

Position Overview

A growing construction company is seeking a highly organized and proactive Project Manager Assistant to support multiple construction projects from start to finish. This role serves as the right hand to the Project Manager by coordinating project documentation, schedules, subcontractor communication, purchasing, job cost tracking, and project closeout activities. The ideal candidate thrives in a fast-paced construction environment, is an excellent communicator, and has exceptional organizational skills with the ability to keep multiple projects moving efficiently.


Key Responsibilities

  • Provide day-to-day administrative and project coordination support to Project Managers
  • Maintain project documentation, including contracts, submittals, RFIs, change orders, permits, and project files
  • Coordinate project schedules, meetings, and communications with vendors, subcontractors, and internal teams
  • Track project costs, purchase orders, invoices, and budget-related documentation
  • Monitor project deadlines and proactively follow up on outstanding documentation and action items
  • Assist with subcontractor onboarding, insurance certificates, lien waivers, and compliance documentation
  • Prepare and maintain project reports, logs, and status updates for leadership
  • Coordinate project closeout activities, including collecting warranties, O& M manuals, as-built drawings, permits, and turnover documentation
  • Prepare complete project closeout packages and ensure all documentation is submitted accurately and on time
  • Support office operations and assist with special projects as assigned

Qualifications

  • 3+ years of experience supporting Project Managers, Project Coordinators, or construction operations
  • Construction industry experience strongly preferred
  • Experience managing project documentation throughout the project lifecycle, including closeout packages
  • Familiarity with contracts, submittals, RFIs, change orders, purchase orders, and job cost documentation
  • Strong organizational and time management skills with the ability to prioritize multiple projects simultaneously
  • Advanced proficiency in Microsoft Excel and Microsoft Office (required)
  • Experience with Google Workspace and construction management software is a plus
  • Excellent verbal and written communication skills with the ability to work effectively with field personnel, subcontractors, vendors, and leadership
  • Self-motivated, detail-oriented, and able to anticipate project needs before they arise
  • Reliable transportation and ability to commute to Muskogee as needed
  • Must be able to pass a background check and drug screen
