Job Summary
Project Coordinators
It's time to build for change - not just respond to it. Rapid technological, social, and economic shifts are forcing us to reconsider higher education's value and structure. Student's needs are outpacing and outgrowing our existing education models. It's our ambition to reconstruct higher education so that it can adapt to changing demographics and ensure that every student has an exceptional educational experience.
We created the Academic Innovation + Intelligence Lab (A.I.I., or "A double i") to handle the details of innovation and implementation. Our cross-unit group drives steady, continuous change by creating and implementing viable interventions. We use careful research, deep data, and calculated interventions to clear a path for students to succeed. We investigate processes, explore new pedagogical approaches, test new technologies, and share our insights nationwide. Unified, we reduce the inequities that prevent us from delivering the best outcomes for every student.
Provide support to project management function, regardless of discipline (e.g., Construction, Engineering, Operations, Technical). Review project proposals, ensure projects adhere to contract language, and issue and track project amendment documentation. Perform technical support including project scheduling and planning, earned value management, budget review/cost analysis, and change of scope impact analysis. Communicate any issues, problems, or additional information to project managers and project stakeholders and recommend solutions. Monitor and evaluate project timeline and activity and report on progress to project managers and leadership.

Responsibilities
Project Coordinator, II
Provide support to project management function, regardless of discipline (e.g., Construction, Engineering, Operations, Technical). Review project proposals, ensure projects adhere to contract language, and issue and track project amendment documentation. Perform technical support including project scheduling and planning, earned value management, budget review/cost analysis, and change of scope impact analysis. Communicate any issues, problems, or additional information to project managers and project stakeholders and recommend solutions. Monitor and evaluate project timeline and activity and report on progress to project managers and leadership. Requires moderate skill set and proficiency in discipline. Conducts work assignments of increasing complexity, under moderate supervision with some latitude for independent judgment.
Requires a bachelor's (or equivalency) + 4 years or a master's (or equivalency) + 2 years of directly related work experience.
This is a Developing-Level position in the General Professional track.
Expected Pay Range: $54,000 - $57,000
Position ResponsibilitiesChatbot Operations & Maintenance
- Support day-to-day operation of the campus chatbot ("Swoop") across 6+ university sites, EAB Navigate, and Utah360, including content updates, integrations, and routine maintenance.
- Conduct regular bot audits and help refine conversational workflows and escalation pathways to improve accuracy and student experience.
- Monitor system performance, flag issues, and assist with troubleshooting to keep the chatbot running reliably.
Technology Assessment & Implementation Support
- Help evaluate emerging tools and platforms related to student success, gathering information on fit, integration needs, and potential value.
- Assist with implementation and rollout of selected technologies in coordination with technical and administrative partners.
Student Team Coordination
- Coordinate a team of 5+ student employees, including assisting with hiring, onboarding, training, and scheduling.
- Provide day-to-day direction and support, and help foster student skill-building and ownership.
Cross-Campus Collaboration
- Work with 6+ departments to gather needs, share updates, and contribute to shared knowledge systems.
- Help communicate chatbot-related work across campus to support lab-wide visibility.
Student Research & Insights
- Assist in designing and conducting Listening Labs and related qualitative research (~23 hours this semester) on the student journey from admission to graduation.
- Analyze chatbot interactions and research findings, and help translate them into improvements to content and workflows.
Innovation Lab & Alliance Contributions
- Contribute to University Innovation Alliance (UIA) activities, including supporting implementation efforts, data collection, and reporting as needed.
- Support other Innovation Lab projects such as UGuide and UBot, assisting with development, testing, content, and improvement work across initiatives.
Continuous Improvement
- Help track metrics for system performance and student experience.
- Contribute to refining processes, escalation paths, and integrations as the system grows.
Minimum Qualifications
EQUIVALENCY STATEMENT: 1 year of higher education can be substituted for 1 year of directly related work experience (Example: bachelor's degree = 4 years of directly related work experience).
