Job description

Administrative Assistant

We are seeking a motivated and organized Administrative Assistant to provide administrative and clerical support to ensure smooth operations of the Authority's daily activities. This role supports the Executive Director and the Board of Directors by managing office functions, handling communication, and assisting with the coordination of meetings, reports, and special projects. The Administrative Assistant plays a vital role in maintain the Authority's records and facilitating interactions with stakeholder, developers and community members.

Schedule:

Monday-Friday, 9:00am- 5:00pm (1-2 work from home days/week)

Key Responsibilities:

  • Provide day-to-day administrative support to the Executive Director, Board of Directors and other Authority staff.
  • Assist with general office administration, including answering phones, responding to emails, and managing mail.
  • Prepare, format, and edit reports, memos, presentations, and other documents as needed.
  • Maintain organized filing systems, both physical and digital, for easy retrieval and archival of essential documents.
  • Schedule and coordinate meetings, appointments, and events, including room bookings and logistics.
  • Process expense reports, invoices, and purchase orders in accordance with organizational policies.
  • Assist with data entry and maintain databases relevant to CIP projects and funding records.
  • Prepare basic reports and summaries related to budgets, contracts, and project progress.
  • Coordinate with vendors, contractors, and external stakeholders as necessary for office supplies and project-related needs.

Requirements:

  • High school diploma or equivalent required.
  • Associate's degree or coursework in business administration, public administration, or a related field is a plus.
  • Strong organizational and with attention to detail.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Effective written and verbal communication skills.
