Job description

Consider joining the Pennex family as an Administrative Assistant at our Leetonia location. The Administrative Assistant is an administrative professional who provides comprehensive support. The role involves management of support projects from design to completion, requiring the ability to critically think and solve problems. The ideal candidate for this position is an organized, detail-oriented individual who can manage multiple projects in a fast-paced environment. The Administrative Assistant is a deadline-driven professional with a strong work ethic and experience in office administration.


  • Ensure a positive first impression for visitors and candidates by maintaining the reception, common areas, and lobby of the Leetonia office.
  • Represent the company by maintaining a welcoming, professional presence that reflects our values of caring, integrity, safety and growth.
  • Register visitors and guests in a professional and courteous manner, ensuring that safety protocol is met and PPE is provided as needed
  • Answer phone calls and direct callers to the appropriate personnel by maintaining current phone lists.
  • Provide administrative support including:
    • Scheduling meetings
    • Account reconciliation
    • Filing, copying, scanning, faxing, etc.
  • Conduct inventory and order office supplies.
  • Manage catering and meal orders for meetings and special events, ensuring that receipts are managed appropriately.
  • Maintain professional and tidy conference rooms and common areas, ensuring that conference rooms are not double-booked and that they are always stocked. Ensure that dishwashers are run and emptied as needed.
  • Review correspondence, memos, reports, and presentations.
  • Manage confidential and sensitive information with the highest level of integrity.
  • Maintain electronic and physical filing systems, ensuring documents are properly archived and easily accessible.
  • Conduct research and compile data for reports and presentations.
  • Support various projects and initiatives.
  • Partner with Executive Assistant and Human Resources Team to execute enterprise-wide projects, events, and initiatives.
  • Perform other duties as assigned.

Ideal Candidate Will Have:

Education and Experience

  • High School Diploma or equivalent is required
  • Associate’s or Bachelor’s degree preferred
  • One to two years of administrative support experience preferred
  • Experience as a receptionist, administrative support personnel, or similar administrative role preferred

Required Skills/Abilities

  • Strong organizational skills with the ability to multitask and prioritize work effectively
  • Excellent verbal and written communication skills, including strong editing and proofreading abilities
  • Demonstrated proficiency in Microsoft Office suite, particularly Word, Excel, PowerPoint, Outlook, and Teams
  • High level of professionalism; ability to maintain confidentiality and handle sensitive information with discretion.
  • Strong attention to detail and commitment to delivering high-quality work
  • Ability to work independently and collaboratively as part of a team, taking initiative and anticipating the needs of the team
  • Strong organizational and multitasking abilities
  • Proactive mindset with the ability to anticipate needs and act accordingly
