SUMMARY 

The Workplace Solutions Program Director provides effective business and delivery management for the assigned category of TFMS services, focused on planning, resource management, financial management, business development and continuous improvement for their assigned service category.  The Workplace Solutions Program Director works closely with other service category leads, the General Manager TFMS, all Account General Managers, Project Delivery and Professional Services partners to proactively drive innovation, resolve issues and identify opportunities for growth of the business while focusing on continuous improvement.  The incumbent will also participate in senior level engagements on high visibility projects.

KEY DUTIES & RESPONSIBILITIES 

People Leadership

Demonstrates strong, competent leadership for team members to guide them in reaching their full potential and meeting their objectives, which supports achievement of our corporate goals. Specifically, these responsibilities include but not limited to:

  • Full involvement with recruiting talent.
  • Provides mentoring, coaching and guidance to all team members.
  • Objectively recommends compensation adjustments.
  • Manages all aspects of performance.
  • Strives for 100% employee engagement and satisfaction through effective leadership, communication, administration and provision of tools and support including mentoring and team member development activities. 
  • Participates in new team member onboarding to ensure a positive and consistent experience for new team members and consistency of training and onboarding to processes, tools and other materials.

National Service Line Management

  • Manages the planning and delivery of services assigned to them including resource planning, process, tools, quality and continuous improvement across all regions and contracts within RP1. 
  • Manages a team responsible for delivering TFMS services and ensures that delivery is undertaken optimally and within BGIS / Client procedural boundaries: provides direct support to the team with respect to delivery and administrative issues and challenges. 
  • Works with other service line leads to develop preliminary schedules, budgets and work authorizations and monitors changes and progress throughout the life of TFMS projects. 
  • Ensures service delivery is done in accordance with all documented processes, work instructions and policies to ensure consistency, repeatability and alignment with BGIS / Client needs respect to key delivery sub-processes, such as document management, change management, scope management, schedule management, cost management, quality management, team management, communications management, risk management, procurement, approvals, close-out.
  • Identifies opportunities for continuous improvement and manages changes required to continuously meet client objectives and program evolution. 
  • May act as a Project Lead for highly complex or high visibility projects as required.

Relationship Management

  • Consults with and maintains ongoing National Workplace Solutions NCOE representatives.
  • Leads engagements with senior client representatives.
  • Manages all escalations in partnership with the General Manager TFMS.
  • Maintains positive relations and expansion of business relations to meet client objectives. 
  • Effectively and pro-actively communicates with stakeholders, such as Clients, contractors and industry bodies (as required) to ensure Client satisfaction and BGIS's success.
  • Develops strong internal relationships with other line of business leads in order to ensure alignment and promote and support integrated delivery of services - One BGIS.

Reporting & Communication             

  • Participates in monthly PSPC / BGIS -TFMS working group meetings. 
  • Oversees all regional reporting on project status.
  • Oversees all financial reporting on a monthly basis.
  • Participates in regional governance and / or program planning meetings as required by each contract. 

Financial Management

  • Ensures effective Business management including; effective financial administration, including accounts payable (A/P), accounts receivable (A/R) & collections, labour absorption, financial reporting; and effective profit & loss management, including pricing of TFMS services and engagements. 
  • Ensures adherence with all financial and procurement policies and procedures.
  • Reviews all monthly reporting and supports quarterly forecast activities with the General Manager TFMS.

Resource Planning and Management 

  • Manages allocation of projects and specific resources on a National level for all approved work authorizations to ensure effective use of resources in collaboration with Studio Leads. 
  • Tracks changes between planned and actual resource utilization to manage changes that may impact funding or schedules to ensure TFMS is effectively resources to deliver to client requirements and expectations and to inform resourcing requirements as the program of work evolves.
  • Supports Studio and Team leads with recruiting activities.

Business Development       

  • Consults with regional PSPC representatives to identify new opportunities, challenges and manage the program of work within each contract. 
  • Through effective relationship management strategies internally with service line partners and with PSPC representatives drives continued growth of TFMS services across all regions. 
  • Develops and manages a joint business development strategy with other TFMS Service leads and Program Directors and reports on status and effectiveness to the General Manager TFMS.
  • Proactively manages the pipeline of work to ensure continued funding to support TFMS resources across the country. 

KNOWLEDGE & SKILLS

  • University or College Degree. (Bachelors level or greater) 
  • Education and certification in one or more of the following areas:  Interior Design, Change Management, Facilities Management or related fields. (10 + years of experience in the area of workplace services including but not limited to interior design, workplace strategy, change management, relocation)
  • Excellent communication skills.
  • English / French bilingual is an asset. (Experience in customer service and client facing activities)
  • Effective leadership skills and management skills. (5+ years in a managerial capacity)
  • Skilled in strategic and critical thinking. (Experience working on workplace transformation initiatives in a consulting capacity)
  • Has excellent relationship building and relationship management skills.  (Experience managing customer relationships)
  • Excellent influencing and conflict resolution skills.  (Experienced in leading a service line or department.)
  • Excellent problem-solving skills.  (Experience in facilitating workshops and other engagements for visioning, problem solving and or requirements gathering and discovery) 
  • Business development skills including solution development, proposal writing, pricing of services.  
  • Able to meet requirements for Federal Security Clearance.  

Licenses and/or Professional Accreditation

  • Education and certification in one or more of the following areas:  Interior Design, Change Management, Facilities Management or related fields. (10 + years of experience in the area of workplace services including but not limited to interior design, workplace strategy, change management, relocation)
