Southeast Program Assistant

About the Role
Special Olympics Virginia is seeking a Southeast Program Assistant to provide administrative and logistical support to the Southeast Region Director and Southeast Unified Champion Schools (UCS) Director. This role is essential to the smooth operation of programs and events across the Southeast region of Virginia, and also provides general office support for our Virginia Beach location.
What You'll Do
Program Support
- Coordinate region and UCS competition logistics, including registration, communication, data entry, uniform/shirt orders, equipment, and on-site venue operations
- Recruit, communicate with, and train community volunteer groups
- Support professional development events for local programs and schools - securing facilities and food, handling registration and communication, and creating presentations
- Inventory and organize event equipment and materials
- Assist with athlete and volunteer enrollment and eligibility processing
- Manage data and reporting for local programs and UCS
Administrative Support
- Respond to and follow up on inquiries
- Welcome and receive office visitors
- Prepare outgoing mail and manage post office runs as needed
- Sort, open, and distribute incoming mail and correspondence
- Ensure proper operation of office equipment and coordinate building maintenance
- Track and order office supplies
- Perform general clerical duties (copying, faxing, mailing, filing)
- Maintain electronic files and CRM records
- Recruit and supervise program interns and volunteer groups during office hours
- Handle bank deposits and related paperwork; prepare financial mailings to the Richmond office
- Process invoice payments as appropriate
- Perform other duties as assigned
