Job description

Position Summary Big Bend Community College invites applications for a Program Assistant in the college's Basic Education for Adults (BEdA) Department. Under general supervision, this position provides case management services to BEdA students, develops educational plans, monitors student progress, and supports successful transitions to postsecondary education, employment, military service, or other career pathways. The position works collaboratively with campus departments and community partners to provide wraparound support, remove barriers to success, and connect students to available resources.

This position reports to the BEdA Director and works collaboratively with faculty, staff, and community partners to help students achieve their educational goals. Success in this role requires a student-centered approach, strong organizational skills, flexibility, and adaptability as program requirements and student needs evolve throughout the year. This position typically works Monday through Friday during regular business hours; however, occasional evening work, travel, and off-site responsibilities may be required.

Services are delivered in person, by phone, email, and virtual platforms. To work at the college, you will participate in a movement. Essential Job Duties Essential Job Duties Respond to students, employees, partner agencies, and members of the public by providing information regarding Basic Education for Adults (BEdA) programs, services, and resources. Manage a caseload of BEdA students and maintain accurate, timely documentation of participation, progress, and services provided within student information and case management systems. Maintain regular communication with students through in-person meetings, classroom visits, phone calls, virtual meetings, email, Canvas, LACES, Starfish, and other communication platforms.

Use a holistic, student-centered approach to identify and address academic, personal, and program-related barriers to success and make appropriate referrals to campus and community resources. Maintain confidential student records, including educational plans, schedules, transcripts, enrollment information, and progress documentation, in accordance with applicable regulations and policies. Monitor and track student progress toward educational goals, milestones, certificates, credentials, and degree completion.

Conduct orientation sessions for new students and provide information regarding program requirements, expectations, available services, and student success strategies. Assist students in identifying educational and career goals and developing individualized educational plans to support goal attainment. Refer students to appropriate college programs, services, and community resources, including Workforce Education Services (WES), TRiO, Pathway Advisors, Outreach Services, and other support programs.

Collaborate with faculty, staff, public agencies, community organizations, employers, and private-sector partners to support student retention, persistence, and access to resources. Represent the BEdA Department at outreach, recruitment, enrollment, retention, and community engagement events to promote programs and services. Other Work Activities Participate in professional development activities to maintain current knowledge and best practices.

Ensure compliance with college safety requirements, policies, and procedures. Maintain compliance with applicable college, state, and federal regulations. Demonstrate professionalism and contribute to a collaborative, student-focused environment.

Perform other duties as assigned. Required Knowledge, Abilities, and Skills (KAS) Knowledge of effective problem-solving and decision-making principles and practices. Knowledge of confidentiality standards, including FERPA regulations and requirements for protecting student information.

Knowledge of electronic database systems, student information systems, and technology tools used to support operations and services. Working knowledge of Microsoft Office applications, including Word, Excel, Outlook, and PowerPoint. Knowledge of best practices for working with individuals from diverse cultural, educational, socioeconomic, and ability backgrounds.

Ability to manage multiple priorities, meet deadlines, and effectively respond to frequent interruptions in a fast-paced environment. Ability to adapt to changing priorities, processes, and organizational needs. Ability to establish and maintain positive working relationships with students, colleagues, employers, and community partners.

Ability to work collaboratively and contribute effectively as a member of a team focused on student success and completion. Ability to communicate effectively, both verbally and in writing, with individuals and groups in one-on-one, small-group, and public settings. Ability to exercise initiative, sound judgment, discretion, and leadership in carrying out assigned responsibilities.

Ability to maintain reliable attendance and work occasional evenings or non-standard hours as needed. Ability to travel as required for outreach, enrollment, training, professional development, and community engagement activities. Skilled in analyzing situations, evaluating options, and making informed decisions.

Skilled in prioritizing workload, organizing tasks, and managing competing responsibilities. Skilled in utilizing electronic databases, case management systems, and technology applications to track, maintain, and retrieve information. Skilled in using Microsoft Office software to create documents, spreadsheets, presentations, and communications.

Skilled in building rapport and fostering effective working relationships with diverse populations. Skilled in teamwork, collaboration, and coordination with internal and external stakeholders. Skilled in delivering professional presentations and facilitating effective communication in both individual and group settings.

Work Schedule and Physical Requirements This is a full-time position that generally works 40 hours per week, Monday through Friday, with occasional evening and weekend assignments. The position is primarily performed in a sedentary office environment with occasional travel and outdoor activities. Employees must be able to regularly lift up to 20 pounds and communicate effectively in person, by phone, email, and virtual platforms.

Flexibility is essential due to changes in priorities and frequent interruptions. Minimum & Desirable Qualifications MINIMUM QUALIFICATIONS: At the time of application, candidates must possess: Two years of administrative, clerical, or customer service experience involving public interaction; or an equivalent combination of education and experience. Experience working effectively with individuals from diverse academic, socioeconomic, cultural, ethnic, and ability backgrounds.

Experience assisting disadvantaged youth and/or adults in identifying barriers, establishing goals, accessing resources, and navigating support services. Desired Qualifications Associate degree or higher from a regionally accredited institution. Bilingual proficiency in English and Spanish preferred.

Computer skills sufficient to work in student management and learning systems to document notes, credit attainment, and services provided. Work experience at a community or technical college in student services and/or workforce education. Experience working with local employers and community partners with a focus on work-based learning and resource access.
