Position Summary:
The Program and Business Process Coordinator provides coordination, administrative, and operational support for Workforce Development and Career Services programs, including government-funded, education pathways and indigenous workforce development programs. This role supports program delivery, compliance requirements, reporting, data management, process improvement, stakeholder coordination, and continuous enhancement of operational workflows.


The coordinator works closely with internal departments, government partners, community organizations, training providers, and other stakeholders to ensure effective implementation and administration of programs. The role is responsible for maintaining accurate program records, developing reports and analytics, supporting program activities, improving business processes, and ensuring alignment with contractual and organizational requirements.


Key Responsibilities:

  • Provides program coordination and operational support for government-funded training programs, educational pathways, and workforce development initiatives.
  • Supports the planning, implementation, and monitoring of program activities to ensure alignment with funding agreements, program objectives, and organizational standards.
  • Coordinates program documentation, student/client records, enrollment information, attendance tracking, outcomes reporting, and other required administrative processes.
  • Maintains accurate and up-to-date information in databases such as SharePoint lists and other reporting platforms.
  • Develops, updates, and maintains program trackers, workflows, templates, process documentation, and operational tools to improve efficiency and consistency.
  • Generates program-specific statistical reports, dashboards, and summaries to support decision-making and program evaluation.
  • Coordinates logistics for information sessions, orientations, workshops, training activities, and program-related events.
  • Communicates and coordinates with external stakeholders, including government representatives, community partners, training providers, and other service organizations.
  • Provides administrative and technical support related to Microsoft 365 applications, SharePoint, Power BI, Canva, and other business tools.
  • Responds to operational issues and escalates technical or process-related concerns to the appropriate department.
  • Performs other related duties as assigned.


Required Qualification:

  • Degree in Management, Business Administration, Human Resources, Project Management, Data Analytics, or a related field.
  • A related Master's degree is an asset
  • Experience supporting government-funded programs, education/training programs, workforce development initiatives, or similar service delivery environments is an asset.
  • Strong understanding of program coordination, administrative processes, reporting requirements, and stakeholder engagement.
  • Proficient in Microsoft Office 365 applications, including Word, Excel, PowerPoint, Outlook, SharePoint, and Teams.
  • Experience with data management, reporting tools, analytics, or business process improvement is preferred.
  • Knowledge of Power BI, Power Automate, Canva, or other digital workflow tools is an asset.
  • Strong organizational skills with the ability to manage multiple programs, deadlines, and competing priorities.
    Analytical and detail-oriented with strong problem-solving skills and the ability to identify process improvements.
  • Excellent written and verbal communication skills with the ability to collaborate effectively with diverse stakeholders.
  • Demonstrated ability to work independently, take initiative, and adapt to changing program requirements.
    Strong documentation, record-keeping, and project coordination skills.
