Description of Position
The Small Business Development Center (SBDC) at Yavapai College is seeking an organized, customer-focused, and highly collaborative Program Administrator II to provide operational, administrative, and program support for one of Northern Arizona's leading business assistance organizations.
The Program Administrator II serves as the first point of contact for entrepreneurs, business owners, and community partners while providing administrative coordination for consulting services, business education programs, outreach activities, grants, and special initiatives. This position plays a critical role in ensuring an exceptional client experience and supporting the daily operations of the SBDC.
The ideal candidate enjoys working with people, thrives in a fast-paced environment, possesses excellent organizational skills, and is comfortable managing multiple priorities simultaneously.
Essential Responsibilities
  • Welcome and assist entrepreneurs, business owners, community partners, and visitors.
  • Coordinate intake and onboarding of new SBDC clients.
  • Schedule business advising appointments and manage advisor calendars.
  • Maintain confidential client records within the SBDC CRM system and ensure data accuracy.
  • Assist with client correspondence, reports, and program communications.
  • Coordinate workshops, webinars, training programs, and community events, including registration, logistics, materials, and follow-up.
  • Prepare correspondence, presentations, reports, spreadsheets, and other business documents.
  • Track program performance measures and assist with grant reporting.
  • Process purchasing requests, invoices, reimbursements, and other administrative transactions in accordance with college procedures.
  • Maintain office supplies, equipment, and operational resources.
  • Support marketing and outreach efforts, including newsletters, social media coordination, website updates, and promotional materials.
  • Coordinate meetings and maintain meeting agendas and minutes as requested.
  • Build positive working relationships with community partners, local governments, chambers of commerce, lenders, and other organizations.
  • Provide administrative support for special projects and new program initiatives.
  • Perform other duties as assigned in support of the SBDC mission.
  • Occasional travel within Yavapai County for events and outreach activities.

Minimum Expectations & Requirements
Minimum Qualifications
  • Associate's degree or equivalent combination of education and experience.
  • Three (3) years of progressively responsible administrative, program coordination, customer service, or office management experience.
  • Excellent organizational and time-management skills.
  • Strong written and verbal communication skills.
  • Demonstrated ability to manage multiple projects with attention to detail.
  • Proficiency with Microsoft Office Suite and standard office technology.
  • Ability to maintain confidentiality and exercise sound judgment.

  • Experience working with grants or publicly funded programs.
  • Bilingual (English/Spanish) preferred.

Yavapai College offers Regular Part Time employees the following comprehensive benefit package:
  • Other Insurance Coverage: Workers' Compensation (compensation, medical expenses and death benefits for on-the-job injuries or occupational diseases)
  • Unemployment Compensation: Employees who are laid off or terminated may receive benefits if covered wages meet requirements
  • Direct Deposit: Paychecks deposited directly into the employee's bank account(s).
  • Tuition Waiver: Up to 3 credits of Yavapai College for credit course work per semester without payment of tuition during the semester in which the adjunct faculty member is scheduled to teach a credited class.

  • Breaking Bread: 32 meal swipes for use at the Prescott Campus Eatery. All Other Campuses and Sites receive a $140 credit each semester (fall and spring) to be used at the Open Market on campus/center
