Source of Hope LLC is a Division of Developmental Disabilities (DDD) provider committed to delivering compassionate, high-quality services to individuals with developmental disabilities throughout Arizona. We are seeking a highly organized, detail-oriented, and motivated Program Administrator to join our growing team.
The Program Administrator plays a critical leadership role in supporting daily operations, ensuring compliance with DDD regulations, managing employee onboarding, maintaining provider records, and assisting with recruitment and hiring efforts.
Position Summary
The Program Administrator is responsible for overseeing administrative operations, recruiting and onboarding new employees, conducting compliance audits, maintaining provider files, and ensuring all employee documentation meets organizational and regulatory requirements. This position also requires occasional travel to conduct in-person onboarding with families and newly hired Direct Care Workers.
Essential Duties and Responsibilities
Recruitment & Hiring
  • Recruit, interview, and hire Administrative Staff and Direct Care Workers.
  • Post job openings on recruitment platforms.
  • Screen applications, verify references, and coordinate interviews.
  • Ensure candidates meet all DDD employment requirements.
Employee Onboarding
  • Coordinate and complete onboarding for all newly hired employees.
  • Assist new hires with employment paperwork and electronic onboarding.
  • Verify employment eligibility and required documentation.
  • Schedule mandatory trainings and certifications.
  • Travel to family homes when in-person onboarding is required.
Compliance & File Management
  • Conduct routine file audits
  • Ensure all documentation is complete, accurate, and compliant with DDD requirements.
  • Maintain electronic employee records and organizational databases.
  • Coordinate annual and monthly compliance activities.
Administrative Operations
  • Monitor office email communications and respond professionally.
  • Organize, maintain, and update confidential employee records.
  • Prepare reports and assist leadership with compliance audits.
  • Maintain tracking spreadsheets
  • Support company initiatives and participate in organization-wide projects.
Training & Support
  • Schedule required employee trainings.
  • Assist staff with onboarding questions and documentation.
  • Ensure employees remain compliant with ongoing training requirements.
  • Promote a culture of professionalism, accountability, and teamwork.
Qualifications
Required
  • Minimum of two (2) years of administrative or human resources experience.
  • Strong organizational and time-management skills.
  • Excellent verbal and written communication skills.
  • Proficiency in Microsoft Office (Word, Excel, Outlook).
  • Ability to maintain strict confidentiality.
  • Valid Arizona driver's license and reliable transportation.
  • Willingness to travel throughout Arizona.
Preferred
  • Experience working with Arizona DDD programs.
  • Knowledge of provider onboarding and compliance requirements.
  • Experience using HRIS systems (iSolved preferred).
  • Experience with employee recruitment and hiring.
  • Familiarity with electronic record management and compliance audits.
