Job Title:                    Personal Assistant

Reports to:                Jay Cannone Senior Sales VP – Trumbull

Status:                        Full-time, Non-exempt

Location: Trumbull, CT

Summary:

The Personal Assistant plays a critical role in the general support of our top agent in the office. Focus on execution of the agents’ print and digital marketing, the seamless coordination of marketing requests for our sales agent.

Job Responsibilities:

Administrative support:

·       Receptionist duties - Answer phones and direct calls appropriately.

·       Professional Communications Email, Local Events, and schedule showings as needed.

·       Communicate closely with off-site Transaction Coordinator for commission invoice needs.

·       Handle all paperwork including entering information into SkySlope.

·       Audit MLS to SkySlope (transaction management platform) to ensure transactions entered, notify agent of Listing or Contracts are missing in SkySlope.

·       Schedule showing appointments as needed, review and enter showing instructions into Showing Desk.

·       Other projects and duties as needed (open houses, buyer tours, etc.) 

Marketing support:

·       Marketing support and Social Media support for our agent and update Marketing books as needed.

·       Optimize social media videos, post Google and Facebook ads.

·       Provide various marketing tasks: CMA listing presentations, print advertising, direct mail, social media and email marketing - across company Platforms.

·       Adherence to Company standards for branding, social media and marketing (Twitter, Facebook, Instagram)

Knowledge, Skills and Abilities:

·       Experience in Real Estate helpful with an understanding of MLS systems.

·       Detail oriented: Ability to multi-task, manage deadlines and prioritize multiple projects to meet shifting demands in a sales environment.

·       Responsible for making decisions at the local office and communicating closely with agent to complete given tasks and to drive involvement with the agent.

·       Must possess excellent accuracy and speed on computer - written, editing, typing, and communication skills.

·       AI tools and Microsoft 365 Suite exp. (Word, Excel, Power Point, Office 365)

·       Strong Social media experience posting to Instagram, Twitter, Facebook, YouTube as needed.

·       Solid communication skills to handle customer service email and phone business.

Hours of Work

This position is a full-time, in-office position, 40 hours/week at our Trumbull CT office. Standard work hours are Monday-Friday 8:30am – 5pm, with regular and predictable attendance.
