Job description

We are seeking a detail-oriented and highly organized Administrative Assistant to support our manufacturing office operations. The ideal candidate will have experience working in a manufacturing environment, strong proficiency in Excel, and demonstrated accuracy in managing purchase orders and data entry. This role is critical to ensuring smooth administrative workflows and supporting various departments with accurate documentation and reporting.

Key Responsibilities:

  • Accurately enter and manage purchase orders for ingredients, packaging, and other materials.
  • Track and process supplier invoices, ensuring timely and accurate reconciliation with purchase orders and deliveries.
  • Maintain organized records of procurement, inventory, production data, and financial documentation.
  • Perform high-volume data entry into spreadsheets, ERP systems, and internal databases with an emphasis on accuracy and consistency.
  • Utilize strong proficiency in Microsoft Excel to manage, organize, and analyze operational data.
  • Support communication with vendors and internal departments regarding order status, delivery confirmations, and discrepancies.
  • Assist in monitoring inventory levels and reordering supplies as needed to avoid production delays.
  • Provide general administrative support including filing, scheduling, scanning, and document preparation.
  • Cross-train with other departments to provide backup support and promote team flexibility.

Qualifications:

  • 2+ years of administrative experience, preferably in a food manufacturing or production environment.
  • Proven experience with purchase order entry, supplier invoice handling, and vendor communication.
  • Strong proficiency in Microsoft Excel, including formulas, filters, and basic data functions.
  • High accuracy and attention to detail in data entry and document handling.
  • Strong organizational and multitasking skills with the ability to manage priorities in a fast-paced environment.
  • Effective written and verbal communication skills.
  • Ability and willingness to learn new systems and cross-train in multiple roles.
