Job Title: Service Coordinator

Salary Range: $25.00-$32.00 per hour

Department: Roch Service

Location: Rochester, New York

Reports To: Service Manager



Job Overview:


The Service Coordinator fulfills a key role in a dynamic work environment to include service call reception, quotation preparation, service scheduling & support, order entry, warranty coordination, and various other administrative functions. This position requires a motivated professional with a high degree of computer proficiency and administrative skills with the technical aptitude to learn and support many aspects of our Service & Repair business. Essential characteristics include excellent customer service skills, teamwork, attention to detail, and the ability to balance priorities and adapt to changing circumstances.

Scope of Responsibility

  • Telephone & email reception
  • Preparation of equipment, receipt acknowledgments, and quotations for technical services. Maintain service calendar and assist supervisors with service scheduling
  • Timely preparation of job folders with proper documentation
  • Arrange prepaid hotel accommodations for overnight travel
  • Service order entry, parts purchasing, and related functions
  • Dispatch & collect electronic work tickets to/from field service personnel
  • Preparation of comprehensive inspection and repair reports for service & RSG
  • Invoice & Process service jobs and warranty claims
  • Warranty coordination and claim processing with OEM’s
  • Oversee Planned Service Agreement proposals, renewals, and scheduling
  • Facilitate credit card purchases and submit receipts to corporate accounting
  • Shop Supplies inventory support & replenishment
  • Organized filing of paper and electronic service records
  • Coordinating employee training and maintaining department training and certification records
  • Provide technical telephone support to customers & coworkers (including reasonable after-hours support)
  • Diffusing and resolving customer concerns and complaints
  • Perform all other duties as assigned
