Job Overview
The Procure to Pay Specialist performs technical and administrative work supporting the overall IT business operations. Responsibilities include overseeing the entire purchasing process for IT equipment, supplies, and services. The Procure to Pay Specialist works closely with IT and internal business unit stakeholders, Accounts Payable, Purchasing, Vendor Management Office, and suppliers to ensure the seamless flow of IT procurement processes, from order initiation to final payment, while maintaining compliance with company standards and regulations. Additional responsibilities include project assignments related to finance transformation initiatives, procurement to pay process optimization and implementing cost-saving exercises to ensure continuous improvement.
Key Job Responsibilities
Responsible for the complete purchasing/leasing procure-to-pay lifecycle for IT equipment, supplies and services based on specific requirements and in accordance with company policies and procedures for the US and as requested, globally.
Coordinates with suppliers in the procurement of IT equipment, supplies, and services, ensuring timely, cost-effective, and accurate delivery to Komatsu IT functions and internal business partners.
Oversees fulfillment of goods and services with Komatsu Technical Analysts, ensuring hardware, software and services meet the needs of the platform owner.
Submits requests for spend approvals into the Ariba and SAP systems on behalf of IT Functions securing financial agreement on spend and provides Finance and Accounts Payable departments with documentation and approval authorizations to confirm accurate cost alignment and guarantee an efficient and expeditious approval process.
Assists in the establishment of new vendors as directed by IT Business Operations, tracks status, engages Komatsu resources, coordinates documentation with the vendors to ensure procurement and payment of products and services is not hindered.
Responsible for telecom services analytics/reporting ensuring all telecom asset records are complete and up to date when instituting, terminating or sunsetting services.
Undertakes actions to investigate and resolve problems in systems, processes and services.
Leads special projects related to finance transformation initiatives, procurement to pay process optimization and implementing cost-saving exercises to ensure continuous improvement.
Qualifications/Requirements
Associates' degree, or higher, in business, finance or related field preferred.
4+ years of experience in procurement, finance, or a related field, and a strong understanding of accounts payable principles, procedures, best practices and working knowledge of procurement processes.
Working knowledge of Microsoft office tools, Adobe, and other licensed Komatsu software. Strong analytical, data processing and problem-solving skills including MS Excel experience for reporting.
Working experience in SAP and Ariba preferred.
Analytical skills, attention to detail, and the ability to work with cross-functional teams.
Strong attention to detail and proven skills to handle variety of requests in a fast-paced, high-demand environment.
Proven ability to work effectively in a team setting as well as independently with minimal error and guidance.
Effective communication skills with a proven ability to understand key concepts and communicate successfully with technical staff, business stakeholders, senior management and suppliers.
