Job description

The Walker Art Center empowers people to experience the transformative possibilities of the art and ideas of our time and to imagine the world in new ways. In our over 125-year history, we have become one of the most celebrated art museums in the country and we are known for our innovative presentations and acclaimed collections of contemporary art across the spectrum of the visual, performing, and media arts.

The Software Implementation Lead will lead and execute the implementation of Momentus Elite as the Walker's centralized institutional planning and calendar platform.

This role will guide the organization through discovery, workflow analysis, system configuration, implementation, and adoption. Working closely with staff across departments and with the Momentus Elite vendor team, the Implementation Lead will translate operational needs into system configuration decisions and ensure the platform effectively supports the way teams plan and coordinate their work.

Because this system will introduce new tools and new processes across multiple departments, the role also requires strong change leadership. The Implementation Lead will actively engage stakeholders across the organization, build shared understanding of the system, and ensure that end users are supported and brought along throughout the transition.

Success in this role requires someone who is both analytical and collaborative-a person who can introduce structure and clarity to complex institutional processes while maintaining the flexibility and creativity that define the Walker's culture.

WHAT YOU GET TO DO 

Project Leadership & Execution

  • Lead the day-to-day execution of the Momentus Elite implementation from discovery through system rollout.
  • Coordinate project activities across internal stakeholders, leadership, and the Momentus Elite vendor implementation team.
  • Establish and manage project timelines, milestones, and deliverables.
  • Identify risks, dependencies, and operational considerations, escalating issues when needed.
  • Maintain clear documentation, decision logs, and project artifacts to ensure transparency and alignment.

Stakeholder Engagement & Requirements Gathering

  • Facilitate interviews, workshops, and working sessions with departments.
  • Document current planning workflows, scheduling processes, communication practices, and operational pain points.
  • Translate departmental needs into system requirements, user stories, and implementation priorities.
  • Identify cross-departmental dependencies and opportunities for improved coordination.
  • Serve as a connector across teams to ensure institutional alignment.

Process Mapping & Operational Design

  • Develop clear documentation of current-state planning and scheduling workflows.
  • Identify inefficiencies, redundancies, and communication gaps across teams.
  • Using an established current-state process map, partner with stakeholders to design a future-state processes supported by the Momentus Elite platform.
  • Ensure the system configuration supports the operational realities of museum programming, event production, and space usage.

SaaS Platform Implementation

  • Work directly with the Momentus Elite vendor implementation team to translate operational requirements into system configuration.
  • Support configuration decisions including:
  • User roles and permissions
  • Event and program data structures
  • Resource and space booking structures
  • Workflow logic and dependencies
  • Reporting and visibility needs
  • Coordinate user testing, validation cycles, and system feedback.
  • Support planning for data migration from existing systems where applicable.

Change Management & Organizational Adoption

  • Play a central role in guiding the organization through the transition to the new platform.
  • Build understanding and confidence in the system across departments by:
  • Clearly communicating project goals and benefits
  • Addressing staff questions and concerns
  • Ensuring stakeholder input is incorporated into system design
  • Develop training resources, documentation, and user guides.
  • Facilitate system demonstrations, workshops, and training sessions.
  • Support departments as they transition to new planning workflows.

Project Communication & Reporting

  • Provide regular project updates to leadership and key stakeholders.
  • Maintain documentation
  • Ensure transparency and alignment across the project lifecycle.

WHAT WE NEED IN YOU 

Minimum Requirements

  • 3-6+ years of experience leading or supporting software implementation, systems rollout, or operational technology projects.
  • Experience implementing or supporting SaaS platforms or enterprise systems in complex organizational environments.
  • Demonstrated experience gathering and translating business requirements into system configurations or workflows.
  • Strong facilitation and stakeholder engagement skills, with the ability to work across diverse teams.
  • Experience mapping operational workflows and improving business processes.
  • Ability to independently manage projects, coordinate multiple stakeholders, and drive work forward.
  • Strong communication skills with the ability to translate between technical and non-technical audiences.
  • Collaborative and relationship-oriented, able to build trust across departments.
  • Comfortable working in environments where processes are evolving and not always formally defined.
  • Detail-oriented while maintaining awareness of broader institutional goals.
  • Curious, analytical, and solutions-focused.
  • Able to introduce structure and clarity without imposing unnecessary rigidity.
  • Possession of a personal mobile device capable of supporting work-related communication (e.g., 2FA, messaging, or scheduling applications)

Preferred:

  • Experience implementing planning, scheduling, or resource management platforms.
  • Experience working with event-driven organizations, museums, arts organizations, or nonprofits.
  • Experience working with calendar, event production, or venue management systems.
  • Experience supporting organizational change management during system transitions.
  • Experience coordinating with external software vendors during implementations.

Physical and Environmental Requirements

  • Primarily works in an office environment and/or remote work setting, with extended periods of computer and screen use.
  • Must be able to sit for prolonged periods while performing administrative, project management, and software implementation activities.
  • Regularly communicates with internal stakeholders, vendors, and end users via phone, video conference, email, and in-person meetings.
  • May occasionally move between office locations, meeting spaces, or training environments and lift or transport materials weighing up to 15 pounds.
  • Requires the ability to review detailed information, analyze data, and perform tasks requiring sustained attention and concentration.

JOB SPECIFICATIONS This position is considered part-time, expected to average approximately twenty (20) hours per week, non-exempt. As an non-exempt position, it is eligible for overtime pay. The compensation range for this role is $35-38 hourly, with an anticipated duration of twelve (12) months
