Role Description

This is a full-time position for an Administrative Assistant to the President-CEO to provide high-level, confidential administrative support to an active President/CEO. This position is often privy to confidential information and as such, requires diplomacy and discretion.


Primary Responsibilities

Administrative:

  • Provide Administrative assistance to President/CEO for all aspects of Mangia Inc including, special and confidential projects
  • Manage mail collection and routing, maintaining confidentiality
  • Create, review, and analyze reports as directed by CEO
  • Coordinate CEO calendar with Public Calendar auditing accuracy


Reporting:

  • Create and distribute all sales performance reports for Regions, Territories and Company from HOPPER.
  • Calendar monthly reporting from all Department Directors and Regional Sales Managers to insure timely and accurate receipt
  • Schedule and maintain weekly/monthly operating committee meetings, keeping record of decisions.


Legal:

  • Send and coordinate contracts to be executed by CEO, working with Department Directors, Regional Managers and Company Counsel where appropriate
  • Lead in the co-ordination of business meetings and hosting of clients Domestically and Globally by planning, organizing and set up, with follow up to insure accomplishment


Travel:

  • Anticipate, Prioritize, and Prepare President/CEO for travel, meetings and presentations Maintaining CEO Calendar and Travel
  • Develop CEO Travel Briefing Books and follow up at the close of trips and meetings


Corporate Projects:

  • Recommend procedures and processes for the improvement of business operations
  • Manage Company project calendar, update and communicate project status and results, keeping on schedule (traffic)
  • Perform all duties as requested by immediate supervisor


Communication:

  • Communicate unified Corporate and Brand voice and positioning in digital space

·       Collaborates with all departments to ensure messaging sent is accurate and correct and understood

  • Regularly communicate and update supervisor(s) and team on project(s) status, media placements, opportunities etc.
  • Recommend procedures and processes for the improvement of business operations
