Admissions Coordinator

About the Role

We are seeking a compassionate and driven Admissions Coordinator to join our team. In this role, you will be the first point of contact for individuals and families seeking substance use treatment, guiding them through the admissions process with empathy, urgency, and professionalism.

You will play a critical role in helping clients access care by verifying insurance, conducting pre-screenings, addressing concerns, and coordinating safe and timely admissions.

Key Responsibilities
  • Respond to inbound calls and inquiries from prospective clients and families

  • Conduct admissions pre-screenings and gather clinical information

  • Verify insurance benefits and explain coverage or private pay options

  • Coordinate with clinical and medical teams for approvals

  • Address objections and support clients in making treatment decisions

  • Arrange transportation and facilitate smooth admissions

  • Identify medical or clinical red flags and escalate as needed

  • Accurately document all client interactions in the system

  • Follow up consistently with leads and active clients

  • Collaborate with internal teams to ensure a seamless admissions experience

Qualifications
  • 1+ year experience in substance use disorder (required)

  • 1+ year experience in admissions, intake, or sales (preferred)

  • Strong phone presence and communication skills

  • Ability to build trust and rapport quickly with clients and families

  • Comfortable discussing insurance, finances, and payment options

  • Experience handling objections and guiding decision-making

  • Ability to multitask in a fast-paced, high-volume environment

  • Detail-oriented with strong documentation skills

  • Ability to work both independently and as part of a team

  • Open to feedback, coaching, and continuous improvement

  • Experience with Sunwave (preferred)

Schedule Requirements
  • Availability for day and night shifts

  • Must be willing to work evenings and weekends as needed
