Job description

Job Purpose: As an ambassador of Jesus Christ, the Receptionist serves as the first point of contact for Aspire Women's Clinic patients, providing a warm, organized, and welcoming environment. This role is essential in ensuring smooth clinic operations, effective communication, and administrative excellence. The Receptionist plays a crucial part in follow-up care, appointment coordination, and patient hospitality-helping to build trust and continuity throughout each patient's experience. In addition, this role is a key team player providing key administrative support for both clinic and ARC staff.
*This is a part-time role, two full eight-hour days a week, 9am-5pm.
RESPONSIBILITIES:
Client Interaction & Front Desk Care

  • Greet and check in patients in a compassionate and professional manner
  • Interact with patients on the phone regarding appointments and schedule
  • Make follow-up phone calls and reach out to patients who missed appointments
  • Communicate and coordinate with clients regarding transportation, including ordering third-party transportation (ie: Lyft)
  • Assists with Care Coordinator responsibilities as needed, including completing patient intake and sharing faith-based encouragement consistent with the clinic's mission and values
  • Collaborate with Call Center as needed to facilitate smooth clinic operations
  • Maintain confidentiality by making sure door between lobby and clinic remain close
Administrative Support & Data Entry
  • Schedule follow-up appointments as needed
  • Audit patient charts for accuracy and completeness
  • Track and maintain key metrics as requested by Manager
  • Support clinic staff as needed with administrative tasks (copies, scan, etc.)
  • Enter daily information into electronic medical records
  • Utilize HopeSync to share relevant resources with patients and send out real-time prayer requests and praises to prayer team.
  • Utilize flag system in electronic medical record to facilitate smooth transition of patients from clinic to ARC
  • Order office supplies
  • Receive deliveries
  • Maintain receipts and complete expense reports
Event & Hospitality Coordination
  • Manage lobby upkeep and maintain inventory of clinic supplies
  • Assist as needed with class coordination and meal sign-ups at ARC
Other Responsibilities
  • Attend departmental and volunteer meetings as necessary.
  • Assist with fundraisers/event planning and tours as necessary.

  1. Be a committed Christian who demonstrates a personal relationship with Jesus Christ as Savior and Lord.
  2. Exhibits a strong commitment and dedication to the pro-life position.
  3. Agree with and is willing to uphold Statement of Principle, Statement of Faith, and policies of the ministry.
  4. Possess the characteristics of self-control, honesty, humility, courteousness, respectfulness, and responsibility when engaging with staff, volunteers, and management.
  5. Willing to submit to leadership and utilize influence to facilitate unity amongst the team while serving in the ministry joyfully.
  6. Possess a high emotional intelligence with the ability to stay calm and collected in stressful situations.
  7. Has the ability to work well as part of a team.
  8. Has the ability to carry out assigned tasks and duties with minimal supervision.
  9. Integrity to maintain patient and client confidentiality at all times.
  10. Good organizational skills, attention to detail and ability to follow-through on tasks to completion.
  11. Required bilingual communication skills in both English and Spanish.
