Position Summary:

The Practice Associate plays a pivotal role in the efficient and smooth functioning of the clinic. This multifaceted position requires a candidate with a strong organizational skill set, excellent communication abilities, and a comprehensive understanding of medical office operations. The primary responsibilities include coordinating administrative tasks, managing patient interactions, and supporting the healthcare team to ensure the delivery of high-quality patient care.


Responsibilities include but are not limited to:

  • Assisting patients with check-in and check-out procedures, managing telephone calls, and addressing inquiries.
  • Effectively communicate with referring practices, patients, and teammates.
  • Schedule appointments for the practice to optimize patient satisfaction, surgeon time, and the most effective use of treatment rooms.
  • Independently and accurately complete treatment planning and benefits verification.
  • Create, access, and verify patient records in Open Dental, retrieve patient files, prepare flow charts, and place charts in sequence for surgeon examination.
  • Maintain the reception area in a neat and orderly condition.
  • Receive letters, packages, etc., and distribute them accordingly.
  • Prepare outgoing mail and packages, dropping them off at mail facilities for processing.
  • Check, sort, forward, and respond to emails and any correspondence from teammates.
  • Collaborate with all teammates and organizational levels, including Marketing, Human Resources, Operations and RCM teams.
  • Perform closing procedures at the end of the day, including depositing cash and checks.
  • Take up other duties as assigned.


Requirements

Required Skills & Abilities:

  • Excellent phone and in-person communication skills.
  • Strong organizational, time management, and multitasking abilities.
  • Computer literacy in basic applications, including Outlook and Microsoft Office.
  • Full-time availability Monday - Friday.
  • Detail-oriented with organized communication skills between patients, doctors, and assistants.

Qualifications:

  • 1 year of medical or dental office experience (Required).
  • 1 year of administrative assistant or receptionist experience (Preferred).
  • 1 year of Open Dental experience (Preferred)
  • High school diploma or equivalent; additional education or certification in healthcare administration is a plus.
